Description
The Compliance Coordinator supports client onboarding and bid submissions by gathering and organizing required company information and documentation, reviewing forms and supporting materials for completeness and accuracy, tracking deadlines and submission status, and maintaining records. The role also keeps company profiles up to date in client and vendor portals, follows up with internal departments, and communicates with clients to resolve outstanding requirements and ensure timely submissions. This position involves extensive document review, data entry, and administrative coordination.
Key Responsibilities
- Coordinate client onboarding and prequalification requirements by gathering, organizing, and submitting required company information and documentation.
- Review compliance forms, questionnaires, and supporting documents for completeness, accuracy, and consistency before submission.
- Complete and support bid-related documentation, ensuring all required information is provided accurately and within established deadlines.
- Maintain and update company profiles, certifications, documentation, and other information in client and vendor portals.
- Track onboarding, compliance, and bid submission deadlines and maintain accurate records of submission status and outstanding requirements.
- Follow up with internal departments to obtain required documents, approvals, certifications, and company information.
- Communicate professionally with clients and external contacts to clarify requirements, address missing information, and resolve documentation issues.
- Perform accurate data entry and maintain organized electronic records of submissions, correspondence, approvals, and supporting documentation.
- Monitor requests and outstanding action items to ensure submissions and client requirements are completed on time.
- Maintain internal trackers and reports using Excel and other Microsoft Office applications.
- Identify missing, incomplete, or outdated documentation and coordinate necessary updates.
- Follow established compliance procedures and client-specific submission requirements.
- Assist with administrative and documentation needs related to compliance, onboarding, and bidding activities.
- Manage multiple requests and priorities simultaneously while maintaining accuracy and meeting deadlines.
- Learn and apply company-specific compliance processes, client requirements, and online portal procedures.
