Summary of Key Responsibilities
This role is pivotal to the smooth running of the resort operations, and its main purpose is to provide department users with products and services to meet their business goals. The Manager (FFE) supports the planning, coordination, and delivery of FF&E for construction and interior fit-out projects. Working closely with the Project Manager, designers, contractors, and vendors, this role helps ensure FFE packages are delivered on schedule, within budget, and in accordance with project specifications and quality standards.
Overall Job Responsibilities
The position will provide procurement support to functional departments including:
- Leading and managing FFE projects from design development through procurement, delivery, installation, and project closeout.
- Coordinate with designers, consultants, contractors, and suppliers to ensure project requirements are met.
- Prepare and maintain FFE schedules, procurement logs, budgets, and tracking reports.
- Support the sourcing, evaluation, and shortlisting of vendors and suppliers.
- Review quotations, purchase orders, and contracts for accuracy and compliance with project specifications.
- Monitor approval process, manufacturing, shipping, and delivery timelines, identifying and resolving potential delays.
- Coordinate site deliveries and installation activities with contractors and installation teams.
- Conduct site inspections to verify installation quality and compliance with project requirements.
- Maintain accurate project documentation, including meeting minutes and submittals.
- Support project meetings and provide regular updates on project status, risks, and milestones.
- Ensure compliance with company standards, health and safety requirements, and user expectations.
- Assist with project handover, defect rectification, and final documentation and close out.
- Executive resolution for any warranty or damage claims.
- Perform other related duties as assigned by Director or Senior Management.
- Consistent and regular attendance is an essential function of this job.
- Be an instrumental team member and work with a team of Procurement Managers and Officers.
- Sourcing and engaging reliable suppliers and vendors while securing advantageous terms.
- Identify opportunities and implement actions to reduce overall costs.
- Provide guidance to internal stakeholders and team of buyers to ensure compliance with procurement policy and relevant guidelines and regulations.
- Support all vendor registration and compliance requirements for supply chain.
- Perform comprehensive bid analysis to ensure best-in-class sourcing, pricing and cost savings based on total cost of ownership.
- Negotiate final pricing and terms with selected manufacturers.
- Oversee creation of Purchase Requisitions and Purchase Orders based on aligned procurement strategy among project stakeholders.
Job Requirements
Qualifications
- Bachelor's degree in Project Management, Interior Design, Architecture, Construction Management, or related discipline.
Experience
- Minimum 5-8 years of FF&E procurement experience, within interior fit-out, construction, hospitality, or commercial projects.

- Meticulous, attention to details, analytical and lateral thinking with strong desire to learn and contribute.
- Excellent written and verbal communication skills across all aspects of the business.
- Experience coordinating procurement and installation of furniture and equipment is preferred.
- Familiarity with project management principles and procurement processes.
- Strong organizational and time management skills.
- Ability to coordinate multiple projects and meet deadlines.
- Strong problem-solving and analytical skills.
- Proficiency in computer applications - MS Office (Excel, Word, PowerPoint, Outlook, Microsoft Teams).
- Ability to read design drawings, specifications, and schedules.
- Attention to detail and commitment to quality.
- Ability to work independently and collaboratively within a project team.
- Maintain proper mental attitude while dealing effectively with management, team members, and suppliers while working under pressure and meeting deadlines.
- Excellent interpersonal skills, especially ability to listen and comprehend high volume of information.
- Ability to establish and maintain effective working relationships with management, co-workers and business partners.
- Quick Learner of the process and execution of the activities. In addition to the ability to work with minimal supervision and ability to multi-task.
- Ariba/SAP Platform experience is an added advantage.
- Office-based with regular visits to project sites, supplier showrooms, warehouses, and installation locations.
