This Is More Than a Reception Role
Your role is to help create an exceptional client journey from the first phone call onwards.
You’ll often be the first person someone speaks to when they are looking for help to their problem or concern and a familiar, trusted face they rely on throughout their care journey with us.
Your role is to create an exceptional client experience at every touchpoint. You’ll respond to and follow up with enquiries quickly, build genuine relationships, book appointments, anticipate needs, follow through on the little things and solve problems before they become frustrations.
You’ll help clients feel known, heard, cared for and genuinely delighted, creating the kind of experience that builds advocacy for the brand through consistency experience, loyalty, reviews and referrals.
This takes warmth, empathy and compassion, as well as confident telephone communication as a trust advisor, organisation, attention to detail and exceptional follow-through.
If you love people, notice the little things and take pride in creating experiences people remember, you’ll feel at home here.
Your role is to help create an exceptional client journey from the first phone call onwards.

- You’ll build genuine relationships with clients and help them stay engaged with their health goals.

- You’ll handle questions and concerns calmly, professionally and compassionately.
- You’ll keep the front desk, client areas and daily clinic operations organised and running smoothly from daily admin to stock, systems, cash-up, and compliance
- You’ll follow our systems, SOPs and checklists so important details don't fall through the cracks.
- You’ll take ownership of personal performance and any improvement required.
- You’ll close communication loops rather than leaving things for someone else.

What Success Looks Like
Within your first few months, we want you to become someone the team can depend on to:
Create an exceptional experience.
Clients feel genuinely welcomed, remembered and cared for.
Turn conversations into action.
You confidently help appropriate enquiries book pay and take their next step.
Follow through.
Missed appointments, enquiries, messages and promises don't disappear into a black hole.
Protect the details.
Appointments, payments, notes, processes and client information are handled accurately.
Own your role.
You notice problems, communicate early and take responsibility for helping solve them.
Keep growing.
You actively seek feedback, practise your skills and get better rather than becoming defensive when challenged.
That is what great performance looks like here.
Who We're Looking For
Experience matters with people, but attitude and character matter more.
You are likely to thrive here if you are:
Warm, smart and emotionally intelligent: You genuinely enjoy talking with people from all walks of life and can make them feel comfortable quickly.
A strong communicator: You're confident face-to-face and on the phone, and you can listen, ask good questions, and communicate clearly.
Coachable: You actively want feedback and can change your behaviour when something isn't working.
Organised and detail-focused: You notice the small things, use checklists and don't like leaving loose ends.
Proactive and resourceful: You don't wait to be rescued. You think, ask, solve and act.
Dependable: If you say you'll do something, people know it will get done.
Comfortable with goals: You're motivated by knowing what success looks like and improving your performance.
Calm under pressure: A busy phone, several clients arriving, and a teammate needing help doesn't make you flustered
Interested in health and wellbeing: Previous experience in customer service, hospitality, reception, healthcare, membership businesses, sales, appointment booking or client support would be useful, but isn't essential for the right person.
You should also be comfortable with computers and learning technology, including Google Workspace, CRM software, and patient-management systems. (we’ll train you!)
This Role Probably Isn't For You If…
You're looking for a quiet desk job where you can simply wait for people to approach you.
This is a high-contact, high-care and high-accountability role.
You will be expected to talk to people, pick up the phone, follow up with enquires on the phone, learn proven playbooks, scripts and communication frameworks, receive coaching, use checklists, hit agreed standards and occasionally step outside your normal responsibilities when the team needs you. If that excites you, keep reading
