Overview
Location: David Grant Medical Center, Travis AFB, CA
Schedule: Monday–Friday, 7:30 AM–4:30 PM
Pay: Between $20/hr - $24/hr, Health & Wellness $5.09*/hr worked (in lieu of benefits)

The Medical Appointment Clerk provides front-line administrative and patient support services within the clinic at David Grant Medical Center. This position is responsible for managing patient appointments, assisting with check-in and check-out, maintaining provider schedules, supporting patient records, and helping ensure efficient patient flow throughout the clinic.
The Medical Appointment Clerk will work closely with providers, nurses, technicians, and other clinical staff while maintaining patient confidentiality and complying with applicable Department of Defense (DoD), Defense Health Agency (DHA), Military Treatment Facility (MTF), and HIPAA requirements.
Responsibilities
- Serve as the front-line representative for the clinic, greeting patients and managing communications by phone, secure messaging, and in person.
- Schedule, confirm, cancel, and reschedule patient appointments in accordance with clinic access-to-care standards.
- Perform patient check-in and check-out procedures.
- Verify patient eligibility through DEERS and update demographic information as needed.
- Provide patients with appropriate appointment and visit instructions.
- Identify patients presenting with emergency needs and immediately refer them to the appropriate clinical staff in accordance with MTF policy.
- Help manage patient flow by addressing scheduling conflicts involving late arrivals, walk-ins, and other delays.
- Maintain provider schedules and appointment templates within the electronic health record (EHR).
- Maintain and manage patient records, including consent forms and outside medical records.
- Scan and upload documentation and process requests for release of information.
- Maintain required HIPAA/PHIMT logs and complete applicable DMHRSi entries.
- Assist with preparation for peer reviews and other clinic administrative requirements.
- Assist with maintaining administrative and supply inventories through designated systems.
- Communicate appointment changes, patient information, and other relevant messages to nurses, technicians, providers, and other clinical staff.
- Participate in clinic staff meetings and contribute to process improvement initiatives.
- Maintain strict patient privacy and confidentiality in accordance with HIPAA and applicable DoD/DHA policies.
- Complete all mandatory facility training, including BLS, HIPAA, and information security training.
Qualifications
- U.S. Citizenship required.
- High school diploma or equivalent.
- Minimum of 6 months of experience in medical office scheduling within the past year
- Proficiency with:
- Electronic Health Records (EHR)
- Medical scheduling software
- Microsoft Office Suite
- Demonstrated knowledge of:
- Medical terminology
- Patient privacy and confidentiality requirements, including HIPAA
- Must be able to communicate professionally and effectively with patients and clinical staff.
- Must be able to manage multiple appointments, scheduling changes, and administrative tasks in a fast-paced clinical environment.
- Must be able to maintain accurate patient and administrative records.
- Must complete required facility training and comply with applicable MTF, DHA, and DoD policies and procedures.
