POSITION SUMMARY: 

The Area Manager is responsible for overseeing the operations, financial performance, and overall success of multiple properties within a designated portfolio. This leadership role ensures that properties meet company standards, drive occupancy and revenue growth, and provide an exceptional living experience for residents. The ideal candidate is an experienced property management professional with strong leadership, financial acumen, and operational expertise.


ESSENTIAL FUNCTIONS: 

This role requires a hands-on leader who can effectively manage multiple properties, provide guidance to on-site teams, analyze financial performance, and ensure compliance with company policies and industry regulations. The Area Manager must excel in strategic planning, team development, and problem-solving to enhance operational efficiency and resident satisfaction.


Staff Management

• Responsible for hiring, on boarding, training and development of community managers.

• Responsible for counseling, mentoring, development of action plans to ensure accountability of each manager in the portfolio.

• Responsible for addressing concerns and developing corrective action plans as needed.

• Responsible for payroll timecard approvals.

• Responsible for training managers on budget and financial variances to allow them to better manage their communities.

• Review payables and approval of all reimbursements for on-site staff.

• Responsible for developing employee engagement.

• Approve commissions and incentives for field associates.

• Responsible for staff meetings and training sessions.

• Responsible for Yardi management, cleanup of ledgers, late fee removals and SDRS approvals.

• Responsible for ensuring training deadlines are met by all staff members.

• Assist managers in completing incident reports. Responsible to see through the completion of insurance claims.

• Responsible for the training of associates on systems such as Rent Café and Yardi.


Asset Physical Condition/Community Standards

• Perform regular site visits to the communities within the portfolio.

• Responsible for completing site visit notes and action items outlined for completion.

• Responsible physically walking and inspecting the condition of the property, halls and breezeways, apartment homes, office and maintenance areas to ensure the upkeep of the properties.

• Ensure that annual inspections, quarterly inspections, and Rise and Shine lists are completed and logged accordingly.

• Responsible for noting any deficiencies and a plan of action for repairs or corrections needed.

• Responsible reviewing files and initialing the lease.

• Responsible for discussing rental rates, occupancy, delinquency, bad debt and collections for each visit as well as weekly calls with each manager.

• Responsible for assisting the on-site team with concerns and problem solving.

• Responsible for identifying Capital Expenses to preserve the asset.

• Responsible for company-wide initiatives and best practices.


Properties Compliance

• Responsible for coordinating inspections and audits with banks examiners, equity partners, state agencies, local government officials.

• Responsible for ensuring that the compliance files are in order and are accurate.

• Responsible for understanding each property’s rent and income levels, specific set asides, or special nuances of each project to ensure compliance is met.

• Responsible to understand the basics of LIHTC, HOME, RD, and HUD for each project.

• Review rents in Yardi to ensure that they are updated correctly to match the current rent and income sheets.

• Continue to keep current on LIHTC changes.

• Hold HCCP designation or similar designation from recognized compliance training organization. 


Financial Performance

• Responsible for creating annual budgets for the properties in the portfolio.

• Monitor the financials on a monthly basis and provide comments on variances.

• Develop strategies for optimal financial performance of each asset.

• Work with each community manager on lease renewal increases to gain the highest achievable rents in a given market.

• Responsible for cost containment at each community.

• Responsible for Key Performance Metrics to be added annually.


Problem Solving/Initiative

• Proactively look for potential problems/issues and develop solutions.

• Motivate and inspire team members to a common goal.  Provide direction, engagement, and encouragement.

Customer Service/Relationship Building

• Provide advanced level of customer service when dealing with clients, associates, and vendors.

• Provide time for all staff members to review and respond to emails on a consistent basis during regularly scheduled work hours.

• Complete questionnaires and reports for lenders as needed.

• Assist managers with audit preparations and attend audits and inspections, when possible, to build strong relationships and support the team.


Lease Ups 

• Responsible to achieve stabilization requirements.

• Work closely with development, construction, asset management, and compliance to learn the details of the new project at the early stages. 

• Responsible for knowing the details and assisting the site team with initiatives each week. Review lead tracking system to ensure traffic is ample. 

• Develop an advertising/marketing game plan. Recommend changes as needed. Review marketing materials and advertising on an as need basis or monthly.

• Participate in weekly lease up calls.

• Ensure the site team completes the weekly application tracker each week. 

• Walk and sign off on turn-ready units.

• Adhere, approve, and track all expenses and spending of the lease up dollars. 

• Review and be responsible of DCR.

• Review and approve first year tenant files.

• Ensure that the Community Manager contacts the supportive service provider, if applicable. 

• Create a staffing plan.


Requirements

Qualifications: 

  • At least 5+ years of Property Management experience 
  •  3+ years of affordable housing experience, including strong working knowledge of LIHTC requirements; experience with Section 8, PBV, HOME, Key Program, or other subsidized housing programs. 
  •  Proven ability to improve property performance, including occupancy, collections/delinquency, resident retention, compliance, and overall operations. 
  •  Strong understanding of property financials, including budgets, variance reporting, NOI, expense management, accounts payable, and forecasting. 
  •  Ability to build trust and strong working relationships with Property Managers and onsite teams while maintaining clear expectations and accountability.
