We are seeking a full-time Legal Receptionist / Administrative Assistant to join our estate planning law firm in Salem, Oregon. Our firm focuses on estate planning, probate, and elder law, and we are known for providing compassionate, client-centered service.

This is an in-office position, Monday through Friday, 8 AM to 5 PM.

Key Responsibilities:

• Serve as the front desk receptionist, greeting clients and creating a welcoming environment 
• Answer and direct a high volume of phone calls and emails 
• Schedule client appointments and manage calendars 
• Assist with client intake and communication 
• Scan, organize, and maintain digital and physical files 
• Open new client files and assist with administrative workflows 
• Prepare mail and route correspondence 
• Prepare conference rooms and assist with client meetings 
• Proofread and format legal documents 
• Assist with client signing appointments and notarize documents 
• Maintain confidentiality of sensitive legal information 

Requirements:

• Prior experience as a receptionist, administrative assistant, or front desk coordinator, welcomed but not required (legal experience a plus) 
• Strong organizational and multitasking skills 
• Excellent communication and customer service skills 
• Ability to work in a fast-paced environment with frequent interruptions 
• Proficiency with office software and general office equipment 
• Professional, reliable, and detail-oriented 

Compensation & Benefits:

• $18 to $20 per hour (DOE)
