Description
Position Summary
The Medical Affairs Project Analyst enables reliable, compliant and efficient execution of Medical Affairs operations across the NOLA cluster. The role coordinates project documentation, systems, vendors, contracting, budgets, payments and close-out activities, provides responsive guidance to project owners and maintains inspection-ready records while supporting continuous improvement.
Key Responsibilities
- Support end-to-end operational delivery of Medical Affairs projects and engagements across NOLA, from intake and planning through contracting, execution, payment, reconciliation and close-out.
- Maintain complete, accurate and timely project and engagement records in approved systems, including MAPP Navigator/Engagement+, Ariba, Aravo, Reltio and other applicable platforms.
- Coordinate required operational documentation such as concepts, due-diligence materials, vendor information, contract requests, funding confirmations, follow-up worksheets, attendance or service evidence and close-out documentation.
- Support budget planning and tracking, purchase orders, invoices, accruals, payment status, forecasts, contract amendments and financial reconciliations; investigate blocks or rejections and route issues to the appropriate owner.
- Support vendor creation and maintenance, contracting workflows and verification that required approvals and signatures are completed before commitments or engagements proceed.
- Apply MAPP policy, standards, SOPs, country annexes, country profiles, fair-market-value requirements and local procedures relevant to interactions with healthcare professionals, healthcare organizations and other business parties.
- Perform quality checks for completeness, consistency and country-specific requirements before submission; return gaps to the project owner and maintain clear evidence of corrections and approvals.
- Maintain inspection-ready files, trackers, dashboards and archives; support audits, monitoring, quality reviews and remediation activities as requested.
- Provide responsive operational guidance to Medical Affairs colleagues while reinforcing that scientific, business and compliance accountability remains with the designated project or engagement owner.
- Partner with Medical Quality and Governance, Compliance, Legal, Finance, Procurement, MEET, Shared Services and other functions to resolve issues and implement compliant solutions.
- Monitor timelines, workload, service levels and recurring failure points; escalate risks early and propose practical process improvements, standard work and automation opportunities.
- Protect confidential, personal and commercially sensitive information and comply with records-management, privacy, pharmacovigilance and product-quality reporting obligations applicable to the role.
Role-Critical Requirements
This role requires disciplined operational ownership, strong control awareness, and the judgment to distinguish administrative processing from the accountability of the project or engagement owner. Accuracy, completeness, timely escalation and consistent application of country-specific requirements are essential.
Required Qualifications
- Bachelor’s degree in business administration, finance, industrial engineering, health administration, life sciences or a related discipline, or equivalent relevant experience.
- At least 4 years of experience in project coordination, operations, finance administration, procurement, compliance support or a comparable role.
- Strong Excel and Microsoft 365 capability, including structured tracking, reconciliation, reporting and clear presentation of operational information.
- Demonstrated accuracy, attention to detail, organization and ability to manage multiple priorities and deadlines.
- Strong customer-service, communication and interpersonal skills in a matrix and multicultural environment.
- Working proficiency in English for regional collaboration, written communication and system use.
- Ability to work independently within defined procedures and escalate exceptions appropriately.
Preferred Experience
- Experience in the pharmaceutical, healthcare or another regulated industry.
- Hands-on experience with MAPP Navigator/Engagement+, Ariba, Aravo, Reltio, purchase orders, invoices, vendor management or contracting workflows.
- Knowledge of HCP/HCO engagement controls, fair market value, country annexes and inspection-ready documentation.
- Experience supporting multicountry or cluster operations in Latin America.
