The University of Miam/UHealth Department of Orthopedics has an exciting opportunity for a full time Surgery Scheduler 2 to work in Miami, FL. The Surgery Scheduler 2 acts as liaison between patients, professional staff, and physicians by scheduling and coordinating all necessary functions for surgical and diagnostic procedures. Further, the Surgery Scheduler 2 acts as source of knowledge for scheduling staff and oversees their functions to ensure accurately and timely scheduling practices.

CORE JOB FUNCTIONS
1. Obtains pre-authorizations for procedures as required by insurance companies.
2. Oversees, produces, and distributes all surgical and procedural schedules to physicians and departments.
3. Collaborates with patients, families, staff, and providers within the office and the greater community to schedule surgeries, pre-op physicals, and testing.
4. Coordinates with hospitals and vendors for special cases or circumstances.
5. Identifies ways to streamline surgical scheduling process and provides suggestions to managing staff.
6. Ensures that electronic systems and scheduling tools are up-to-date and operating smoothly, and immediately contacts appropriate personnel to resolve any issues.
7. Ensures documentation is complete to support accurate billing of surgical procedures.
8. Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS
High School Diploma or equivalent/relevant experience, certification or license
Minimum 3 years of relevant experience required

DEPARTMENT SPECIFIC JOB SUMMARY

  • Receives surgery scheduling requests from physicians, secretaries, or patients via phone, fax, or in person.

  • Collects all required patient and surgical information, including demographics, diagnosis, procedure, estimated surgery time, and length of surgery.

  • Completes the Surgical Data Form and schedules cases in the operating room systems for applicable facilities.

  • Contacts patients to confirm surgery date, time, and location, and provides pre-operative instructions.

  • Coordinates required pre-operative testing, including laboratory orders, referrals, and insurance authorizations.

  • Completes and submits laboratory order forms for non-contracted HMO plans and ensures patients receive appropriate instructions for lab completion.

  • Sends required documentation, including physician orders and signed consent forms, to hospital pre-operative departments and maintains the OR log to verify receipt.

  • Prepares and distributes weekly surgical schedules to physicians.

  • Verifies insurance benefits, deductibles, out-of-pocket expenses, and patient financial responsibility prior to surgery.

  • Coordinates with hospital financial services regarding patient payment responsibilities and approved payment arrangements.

  • Schedules pre-operative and post-operative appointments and obtains all required referrals and insurance authorizations.

  • Requests and secures prior authorizations from insurance carriers by submitting required clinical documentation.

  • Updates and corrects patient demographic and insurance information as needed.

  • Contacts patients before surgery to confirm appointment details and verify completion of required pre-operative testing.

  • Submits surgical documentation to the billing department and maintains accurate departmental records.

  • Coordinates with the International Health Center and hospitals to provide physician procedure codes and obtain estimated hospital charges.

  • Requests, tracks, and retrieves physician clinic notes and dictated reports needed for insurance authorization submissions.

  • Maintains accurate scheduling records and ensures compliance with departmental and hospital documentation requirements.

  • Performs other duties as assigned by leadership.
