Job Summary

Summary
Responsible for managing all aspects of a program and corresponding projects. Implements initiatives that support alignment with organizational goals and strategic planning. Leads the communication and collaboration with stakeholders. Develops the program schedule, budget, and various program and project plan details. Analyzes data, prepares reports, and provides regular updates to program leadership. Identifies and escalates issues and risks and recommends solutions. Leads and provides guidance and support to other administrative team members.

Essential Functions
-Leads program and project teams and coordinates and delegates cross-project initiatives.
-Conducts research, manages and analyzes data in systems, and develops reports and presentations to support programs.
-Identify potential risks, issues, and challenges associated with programs and develop mitigation strategies to minimize impact.
-Monitor program progress and proactively address deviations from plans, timelines, or budgets.
-Manages the program budget, ensuring responsible allocation of resources and adherence to financial guidelines.

Bachelor's Degree Related Field of Study required

Master's Degree Preferred

Program Management Experience 2-3 years required

Knowledge, Skills and Abilities

  • Strong leadership and project management skills, with the ability to effectively coordinate and delegate tasks, manage timelines, and drive results.
  • Excellent interpersonal and communication skills, with the ability to engage and collaborate with medical professionals, faculty, and staff at all levels.
  • Experience with FDA regulatory processes (e.g., IND submissions, sponsor communications) strongly preferred
  • Experience running clinical trials, ideally within psychedelic-assisted therapy, veteran-facing care, or trauma-focused research
  • Strong project management, organizational, and communication skills
  • Experience managing budgets, IRB submissions, and grant reporting
  • Comfortable working with clinical teams, funders, regulatory bodies, and institutional leadership

Home Base is seeking a Program Manager to report to PI’s Maren Nyer, PhD and Franklin King, MD. Our program is an interdisciplinary clinical research initiative focused on MDMA-assisted therapy research, with a particular focus on veterans and their partners. We currently oversee two veteran-organization-funded MDMA studies (couples-format and group-format), alongside training initiatives, clinical manual development, and an AI-based training tool for psychedelic therapists currently in development.

The Program Manager will be responsible for co-managing these research and training initiatives, with a strong emphasis on regulatory and protocol development. Tasks include: 1) working with Principal Investigators to develop and refine study protocols; 2) supporting FDA submissions and ongoing regulatory correspondence, including IND-related documentation and compliance; 3) managing IRB applications, amendments, and progress reports; 4) supporting participant and therapist recruitment; 5) onboarding study staff and trainees; 6) developing and updating program materials and websites; 7) managing study budgets; 8) organizing trainings, team meetings, and stakeholder events; 9) developing and maintaining organizational and regulatory-compliance processes; 10) developing evaluation processes in collaboration with a statistician; 11) developing presentations for funders and stakeholders; 12) assisting with grant submissions for renewal or new initiatives.
