Education and Experience: High School Diploma or GED or higher, and three (3) years of general clerical experience, including one (1) year of customer service experience.
Licenses and Certifications: Valid Texas Class “C” Driver’s License or equivalent from another state by date of appointment.
Special Requirements: Applicants must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check within the first six (6) months of hire and maintain CJIS eligibility during their employment. CJIS requirements are related to system access and the following list of convictions and/or deferred adjudications will result in failure of the CJIS background check and disqualification and/or termination of employment: Felony Convictions, Felony Deferred Adjudication, Class A or B Misdemeanor Deferred Adjudication, Class A or B Misdemeanor convictions, an open arrest for any criminal offense (Felony or Misdemeanor), and family violence convictions.
Under general supervision, perform a wide variety of court clerical tasks and operations. Ensures quality assurance of data entered in the case management application and other computerized systems.
Ensure efficient processing and release of legal documents. Involves: Review and verify court records related to warrants, capias pro fines, motions, waivers, and other documents submitted to the court. Process all documents filed, scan documents, and update the case(s) in the case management system. Provide information to defendants, attorneys, law enforcement agencies, and the public accurately, in accordance with established policies and procedures, in person, by phone, or by other electronic means.
Facilitate court communication. Involves: Preparing correspondence to the public in response to hearing dates, corrections that have been reset or cancelled. Research and respond to customer concerns/issues in person, via the call center, on the website, or through other electronic channels. Research and resolving complex customer inquiries and complaints. Prepare responses to open record requests. Prepare documentation for verification by the custodian of records.
Notify law enforcement agencies, bail bond companies, attorneys, and defendants accordingly of warrants and other legal actions. Involves: Audit court sessions to verify Judge has been updated, attorneys are listed/updated, and witnesses to case(s) have been notified accordingly. Ensure that notices are produced and mailed promptly, and verify the date the letter was printed/mailed. Prepare and verify data produced for dissemination to third-party vendors for mailing services, including prepared reports, and import data into a data processing application such as Excel. Notifying, confirming, and verifying that documents are generated by the vendor before mailing. Assist in setting cases for the court to ensure that sessions are filled to the maximum number allowed. Assist in subpoenaing officers when needed.
Direct citation coding. Involves: Verify that statute code and information on citations and forms are correct. Enter parking, traffic, and Class “C” citations. Track status updates and citation books. Maintain filing systems, databases, and ensure that records and quality are maintained. Review and process charging language for violations. Request updated language from City Prosecutors for new violations. Assist in training new staff.
Schedule court cases and perform related clerical duties. Involves: Set court date by type of violation and prescribed daily caseload. Provide written and oral instructions to defendants regarding case status and the disposition of each citation, including community service, defensive driving, deferred adjudication, or the requirement to complete substance abuse courses. Notify law enforcement personnel, attorneys, defendants, and other authorized persons of action. Update payment plans, change the defendant's addresses, and explain options available to answer citations, including defensive driving classes and payment plans.
