Job Summary
At Diverzify+ and our Family of Brands, our Administrative Coordinator is responsible for ensuring efficient office operations by managing workflows, improving systems and procedures, handling supplies and budgets, supporting meetings and communications, resolving administrative issues, coordinating with technical and delivery services, and completing various clerical and project-based tasks. They also support reporting, maintain records, and ensure alignment with management goals while fostering strong relationships with staff and clients.

Job Responsibilities
- Partner with Account Executives to support projects throughout the bidding process.
- Create and maintain project opportunities within the CRM, ensuring accurate and timely data entry.
- Upload and organize project plans, specifications, addenda, and related bid documents.
- Coordinate with national estimating teams by submitting takeoff requests and tracking progress to meet bid deadlines.
- Solicit and obtain pricing from vendors and manufacturers as required for project bids.
- Monitor bid calendars and due dates, proactively communicating upcoming deadlines to Account Executives and estimating resources.
- Support Account Executives by converting spreadsheet-based estimates and pricing proposals into CRM-generated quotes.
- Track bid status, updates, addenda, and customer communications throughout the bidding process.
- Maintain electronic project files and ensure documentation is accurate, current, and accessible.
- Assist with project handoff activities following award, ensuring bid information and supporting documents are properly transferred to operations teams.
- Generate reports and provide administrative support related to sales activity, bid tracking, and pipeline management.
- Support continuous improvement of sales processes through accurate recordkeeping and workflow coordination.
- Perform other related duties and special projects as assigned.
Qualifications
- High School Diploma/GED Required.
- Familiarity with Microsoft 365 products.
Preferred Qualifications
- 2+ years working in an administrative role is preferred.
