Job Summary

Responsible for coordinating and supporting projects from initiation through completion by maintaining project plans, schedules, documentation, and reporting. Ensures project activities remain aligned with defined scope, timelines, quality standards, and resource requirements. Partners with project managers and stakeholders to monitor progress, identify risks, and facilitate effective communication across project teams. Contributes to successful project delivery through effective organization, issue tracking, and administrative coordination.


Key Responsibilities

  • Coordinate project activities, schedules, milestones, and deliverables to support successful project execution and timely completion.
  • Maintain and organize project documentation, records, meeting materials, and project repositories to ensure information is accurate and accessible.
  • Collect, compile, and analyze project information related to scope, schedules, budgets, resources, and status updates.
  • Prepare recurring and ad hoc project reports, presentations, dashboards, and communications for project managers and stakeholders.
  • Track project milestones, action items, dependencies, and deliverables; follow up with responsible parties to support timely completion.
  • Identify, document, and escalate project risks, issues, and potential schedule impacts to project leadership.
  • Coordinate project meetings, prepare agendas, document meeting notes, distribute materials, and maintain action-item logs.
  • Support resource planning and project administration, including tracking requirements and coordinating stakeholder participation.
  • Monitor project progress against established timelines and provide clear status updates to project managers and key stakeholders.
  • Support continuous improvement of project management processes, templates, reporting tools, and documentation standards.
  • Ensure project records, communications, and activities adhere to organizational standards and governance requirements.
  • Perform other duties and special projects as assigned.

Qualifications

  • High school diploma or GED required.
  • Typically requires two to five years of project coordination, administrative, operations, or related experience.
  • Experience supporting multiple projects or workstreams simultaneously in a fast-paced environment.
  • Proficiency with Microsoft Office applications, including Excel, PowerPoint, Outlook, and Word.
  • Strong organizational, planning, prioritization, and time-management skills.
  • Ability to collect and analyze information, maintain accurate records, and prepare reports and presentations.
  • Effective verbal and written communication skills, with the ability to interact with stakeholders at multiple levels.
  • Demonstrated attention to detail and ability to manage competing priorities with limited supervision.
  • Ability to identify issues, track resolution activities, and escalate concerns appropriately.

Suggested:

  • Bachelor’s degree in Business, Project Management, Operations, or a related field.
  • Experience working with project management, scheduling, collaboration, or reporting software.
  • Experience in waterworks, construction supply, industrial distribution, logistics, or a similar industry.
  • Experience supporting cross-functional projects in an enterprise environment.

  • Bachelor's degree in business or a related field
  • Previous experience in construction supply or industrial distribution
