Description
This role will manage core accounting processes, improve financial controls and documentation, and produce accurate, timely financial information across multiple locations and business activities. The successful candidate will combine strong technical accounting knowledge with a practical, detail oriented approach to reconciliations, journal entries, payroll support, accounts payable, expense management, audit requests, and year-end tax preparation.
A central priority will be designing and implementing the procedures needed for accrual accounting, including appropriate cutoff, accounts payable and receivable recognition, prepaid expense schedules, accrued liabilities, fixed-asset accounting, depreciation, and balance sheet reconciliations
Accounting Leadership & Accrual Conversion
• Lead the transition from cash basis to accrual basis accounting, including a practical implementation plan, opening balance review, documentation, and sustainable monthly procedures.
• Develop accounting policies, close checklists, account reconciliations, supporting schedules, and internal controls appropriate for a growing, multi-location organization.
• Maintain the chart of accounts and ensure transactions are consistently classified by entity, clinic or location, provider, department, and account.
• Research accounting issues and recommend clear, supportable treatment in accordance with U.S. GAAP and the organization’s reporting needs.
Month-End & Year-End Close
• Own or coordinate the monthly close, including journal entries, account reconciliations, variance review, financial statement preparation, and close status communication.
• Prepare and review recurring and nonrecurring entries for revenue, provider compensation, rent, payroll and benefits, merchant fees, reimbursements, prior period adjustments, intercompany activity, and other close items.
• Reconcile bank, credit card, payroll, clearing, due to/due from, and other balance sheet accounts; investigate and resolve differences promptly.
• Consolidate applicable entity or program results and confirm that location level and provider level reporting agrees to the general ledger.
• Establish cutoff procedures and record accruals, prepaids, deferrals, and other adjusting entries needed for accurate period reporting.
Fixed Assets & Depreciation
• Create and maintain a complete fixed asset register, including asset descriptions, locations, acquisition dates, costs, useful lives, depreciation methods, accumulated depreciation, and disposals.
• Implement capitalization and disposal policies; record monthly depreciation and reconcile fixed-asset schedules to the general ledger.
• Coordinate periodic physical verification of assets and retain supporting invoices and documentation.
Operational Accounting
• Improve the accounts payable process, including vendor records, invoice approval, coding, payment timing, and documentation for recurring vendors and automatic payments.
• Review employee and corporate card expenses for business purpose, proper categorization, location assignment, approvals, reimbursement status, and accurate synchronization to QuickBooks Online.
• Support payroll and provider compensation processes by reconciling collections, deposits, cost of goods sold, sales tax, hours, tips, expenses, rent offsets, and amounts due to or from providers.
• Review imported transactions and integrations for completeness and accuracy, including banking, merchant processing, expense, billing, payroll, and practice-management data.
• Partner with operations and clinic teams to resolve questions and improve the quality and timeliness of source information.
Audit, Tax & Compliance Support
• Prepare schedules, reconciliations, transaction detail, invoices, contracts, and other supporting data requested for financial audits, reviews, lender requests, and internal examinations.
• Coordinate year-end tax preparation support, including trial balances, fixed asset and depreciation schedules, account analyses, 1099 information, and responses to tax advisor questions.
• Maintain organized electronic workpapers and an audit ready documentation trail for significant balances, journal entries, estimates, and reconciliations.
• Support sales tax and other recurring compliance reporting as assigned, and help ensure filings agree to underlying accounting records.
Systems & Process Improvement
• Use QuickBooks Online and connected systems efficiently; improve import templates, recurring entries, coding rules, and reconciliation workflows.
• Reduce manual work and spreadsheet risk through standardized templates, documented reviews, sensible automation, and clear ownership.
Required Qualifications
• Bachelor’s degree in Accounting, Finance, or a related field, or an equivalent combination of education and relevant experience.
• Progressive accounting experience that includes month end close, journal entries, account reconciliations, financial statement preparation, and balance-sheet management.
• Demonstrated knowledge of accrual accounting and the ability to help convert accounting processes from cash basis to accrual basis.
• Hands-on experience with fixed assets, depreciation schedules, audit support, and year-end tax-preparation requests.
• Strong spreadsheet skills and experience working with accounting system data; proficiency with QuickBooks Online or a comparable general ledger system.
• Strong judgment, accuracy, organization, and follow through, with the ability to explain accounting matters clearly to non-accounting partners.
Preferred Qualifications
• CPA or CPA candidate.

• Experience with Expensify, BILL, payroll platforms, merchant processors, and data imports or integrations.
• Experience building or improving accounting policies, close calendars, internal controls, and scalable finance processes.
