JOB SUMMARY

Reporting to the AI Transformation & Strategic Projects Leader, the AI Business Process & Automation Analyst turns promising AI Champion discoveries and operational needs into well defined, practical, measurable process improvements that can be implemented and sustained across Think Education and Think Together.

Working under general direction, this role investigates current work, maps processes, defines requirements and acceptance criteria, compares process and technology options, creates or coordinates low code automation prototypes, supports user acceptance testing, and prepares complete handoffs to the AI Solutions Engineer for production engineering and supportability.

The role connects AI Champions, process owners, users, and technical teams. It helps each initiative establish an accountable owner, baseline measures, governance reviews, adoption plan, training resources, success measures, and post launch review so that AI enabled changes produce verifiable value rather than isolated experiments.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

Opportunity and Discovery

• Evaluate AI Champion discoveries and business requests to identify high-value opportunities, prioritize scalable use cases, and align AI initiatives with strategic business objectives.
• Conduct workflow assessments across departments and establish baseline measures for effort, cycle time, quality, cost, risk, and user experience.
• Identify and assess repetitive, rules-based, and knowledge-intensive work suitable for automation or process improvement.
• Design and facilitate AI opportunity workshops, ensuring alignment across crossfunctional stakeholders and translating business challenges into actionable opportunities.
• Define and document the business problem, target users, expected value, key risks, and accountable process owner to establish a clear foundation for evaluating and advancing AI opportunities.

 

Design and Requirements

• Translate business requirements into scalable, sustainable, and supportable AI-enabled workflows that integrate effectively into existing business processes.
• Design low-code and no-code automation solutions that realize measurable productivity and efficiency gain.
• Define success metrics, track outcomes and business value, and use results to advise on continuous improvement and course correction.
• Define business controls, human-oversight requirements, data and records considerations, and business acceptance criteria for proposed solutions.
• Create current and future state process maps, clarify roles and handoffs, and elicit, document, prioritize, and trace business, user, data, control, accessibility, support, and acceptance requirements.

 

Pilot Delivery

• Own the business-side path from discovery through adoption and benefits realization, by partnering with the AI Solutions Engineer.
• Define and track pilot benefits, user adoption, and lessons learned, and identify opportunities to inform scale, iteration, or stop decisions.
• Engage and align stakeholders, coordinate change activities, and address adoption barriers.
• Complete a documented handoff with the AI Solutions Engineer covering requirements, process ownership, risks, acceptance criteria, dependencies, and expected benefits.
• Coordinate user acceptance testing and participate in joint production-readiness and post-launch reviews.
• Recommend that low-value, duplicative, infeasible, or unacceptably risky use cases be paused or stopped.

 

Enablement & Adoption

• Partner with AI Champions to build organizational capability, accelerate adoption, and embed AI into day-to-day business practices.
• Lead targeted workshops and office hours to enable teams to apply AI effectively.
• Develop scalable training and operational enablement resources, and enable sustained use across the organization.
• Confirm that each implemented solution has an accountable business process owner who is prepared to manage the redesigned process and sustain adoption.

 

Value Realization

• Track productivity gains, adoption, quality, risk, user experience, and business outcomes against the approved baseline and business case; identify performance gaps, surface risks, and drive corrective actions.
• Maintain a prioritized portfolio of AI use cases, outcomes and recommended next steps.
• Prepares presentation materials, tailoring content appropriate to the audience.
• Summarize organizational impact, lessons learned and recommendations for the AI Council.
• Conduct post-launch reviews, recommend corrective action when benefits or adoption are at risk, and identify when a solution should be redesigned or retired.

 

AI Governance & Lifecycle

• Perform initial AI risk classification and coordinate required security, privacy, accessibility, legal, records, and responsible AI reviews.
• Ensure required approvals, human oversight, user communications, process documentation, solution inventory records, and escalation paths are in place before launch.
• Partner with the business process owner and technical service owner to define the support model, review cadence, change responsibilities, and retirement criteria.

This position includes both “build” and “run” IT service duties. Build duties are the addition of new systems, features, and functions for both continuous improvement and to support Think Education’s growth. Run duties are the on-going support of the Think Education systems, applications, data environments, and processes to ensure they are meeting users’ needs. The amount of effort dedicated to build and run duties will fluctuate from time to time depending on the needs of the business.

QUALIFICATIONS AND REQUIREMENTS:

• Bachelor’s degree in business, information systems, process improvement, organizational development, or a related field preferred, or an equivalent combination of relevant experience, certifications, coursework, and demonstrated applied learning.
• Two or more years of relevant experience in business analysis, operations, process improvement, automation, project support, change enablement, customer experience, or related work, including experience supporting a cross functional improvement or technology initiative. Relevant internal operational experience and a demonstrated improvement portfolio may substitute for direct AI job experience.
• Demonstrated ability to map a current process, identify root causes, define requirements and acceptance criteria, assess feasibility and expected value, recommend a practical improvement, facilitate stakeholder decisions, and determine how results will be measured.
• Working knowledge of process mapping, requirements elicitation, stakeholder analysis, change readiness, facilitation, business case methods, usability and accessibility evaluation, and comparison of process, policy, configuration, conventional automation, and AI options, with familiarity using workflow, or enterprise collaboration platforms and applying security, privacy, records, human oversight, documentation, communication, and responsible AI practices.

PREFERRED QUALIFICATIONS

• Experience with Microsoft 365, SharePoint, Teams, CRM, service management, or related enterprise platforms.
• Experience with enterprise workflow, low-code or no-code platforms.
• Experience coordinating pilots from discovery through implementation and adoption.
• Experience measuring productivity gains, user adoption, business outcomes, or benefits realization.
• Experience supporting change management, training, AI Champions, or communities of practice.
• Experience maintaining an AI or automation use-case portfolio.

WORK ENVIRONMENT

• Moderate noise, such as typical office noise.
• Ability to stand, walk, and sit in a general office environment.
• Regular computer screen use in the performance of the role.
• Ability to lift up to 10 pounds.
• Travel up to 10 to 20 percent.
• Must pass Live Scan (criminal background check via fingerprinting).
• Provide and maintain a clear TB test throughout employment.
• Reliable transportation is required to meet the needs of the position.
• While driving may not be a regular requirement, employees who operate a personal or company vehicle related to work location requirements must maintain, and provide Human Resources, proof of a valid driver’s license and automobile insurance.

 

 

COMPENSATION:

SALARY - $72,00-$77,000

This is the targeted compensation for the position. A range of factors, including but not limited to; location, skills, experience, will be considered. Actual compensation may vary.
