We are Girl Scouts of Northern New Jersey (GSNNJ), serving girls in grades K–12 in Bergen, Morris, Passaic, Sussex, and northern Warren counties. We bring the Girl Scout Leadership Experience to 19,000 girls and 10,200 adult members.

We are looking for a detail-oriented, tech-curious Systems & Data Coordinator to keep our core platforms running smoothly and our data clean. This is an ideal entry point for someone who wants to grow into data and systems work while directly enabling programs, camp, and membership.

Position Summary

The Systems & Data Coordinator administers the systems that power the member experience — the council's event and program registration technology, the customer relationship management (CRM) system, and the community management platform — handling set-up, configuration, day-to-day administration, user support, and data entry and quality. Working closely with, and supporting, the Data and Systems Specialist and the Director of Business Integration, this role keeps registration seamless, data accurate, and platforms aligned to the needs of every department.

Primary Responsibilities include and are not limited to:

Systems Administration

• Administer the council's event and program registration technology: set up programs, summer day camp, adult trainings, and community-based offerings accurately and on time so members have a clear, seamless registration experience.
• Administer the CRM (Salesforce): perform basic data administration tasks in conjunction with data quality practices under advisement of Girl Scouts of the USA.
• Administer the community management platform: manage system settings that control groups, events, content, notifications, and member access, and support day-to-day operations.
• Provide first-line system and user support to staff; troubleshoot issues and escalate complex needs to the Director of Business Integration.

Data Entry and Quality

• Perform accurate, timely data entry, and run and act on data quality reports to maintain the integrity of information across systems.
• Produce routine reports, including registrations, transfers, refunds, and cancellations, as well as periodic analysis of organizational goals.

Registration and Member Experience Support

• Ensure a quality registration and customer experience; process transfers, refunds, and cancellations, and assist with camp collections and reconciliations with the Finance Department as needed.
• Help train staff periodically on the registration systems.

Collaboration and Documentation

• Work collaboratively with all GSNNJ departments — Membership, Community Engagement, Program, Product Program, Camp, and the GSNNJ DreamLab — to keep systems aligned to their needs.
• Document system processes and configurations to support knowledge centralization and consistent practice.
• Other duties as assigned.

Requirements

• Associate degree (or equivalent experience) in a related field, or relevant coursework and interest in systems, technology, or data.
• Interest or experience in systems administration, data entry, or platform support; comfort learning and working across multiple software platforms.
• Exposure to Salesforce or another CRM preferred; experience with an event or program registration platform a plus.
• Excellent computer skills, including proficiency in Microsoft Office and Excel.
• Strong attention to detail, organization, and accuracy; comfortable with recurring tasks and data entry.
• Strong problem-solving and critical-thinking skills, and the ability to manage multiple priorities.
• Excellent customer service skills and strong oral and written communication skills.
• Membership in GSUSA is required upon employment and annually thereafter (cost covered by the council).
• Ability to work occasional nights and weekends, and to travel occasionally throughout the jurisdiction for Girl Scout meetings or events.
