Job Description Summary

Organization's Summary Statement:

Under general supervision, the Account Clerk I provides essential financial and administrative support to Conferences & Visitor Services, ensuring accurate processing of routine accounting transactions and effective front-line operational assistance. This position performs moderately complex clerical accounting tasks, including data entry, account maintenance, and financial reconciliation, while also supporting departmental administrative functions such as document preparation, records management, and operational coordination.


Primary Duties:

  • Perform routine financial processing, including posting journal entries, processing invoices and purchase orders, reconciling accounts, and preparing deposits and refunds to support accurate fiscal operations.

  • Maintain and reconcile financial records, reviewing purchasing card logs, income and expense statements, and general ledger data for completeness and accuracy.

  • Provide administrative support, including preparing spreadsheets, formatting and filing documents, managing records, and assisting with routine correspondence and reports to enhance department organization.

  • Support departmental operational functions, assisting the Business Manager in audit preparation, payroll tasks, and other unit processes as needed to ensure continuity of office operations. Performs other duties as assigned.

  • Serve as a liaison for internal stakeholders, responding to financial and administrative inquiries, collaborating with team members, and ensuring dependable customer service and operational responsiveness.


Physical Demands:

Normal office environment – Sedentary work. Exerting up to 10 pounds of force occasionally and/or a negotiable amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Ability to travel around campus for meetings and to attend to duties

REQUIRED KNOWLEDGE/SKILLS/ABILITIES:

Basic knowledge of mathematical methods and techniques. Ability to perform basic mathematical computations; to operate manual and automated office equipment, personal computers and financial software, keyboards and calculators; to communicate effectively.

Strong organizational skills, attention to detail, and the ability to accurately process and track information in a fast-paced office environment. The position requires basic proficiency with standard office technology and software applications (e.g., spreadsheets, databases, and document management tools), along with the ability to learn financial systems, procedures, and policies through training. Effective written and verbal communication skills are essential to support collaboration with professional staff, respond to routine inquiries, and maintain clear records. The successful candidate will exhibit sound judgment, dependability, and the ability to manage multiple tasks while meeting deadlines. Strong customer service orientation, adaptability, and a willingness to learn financial and administrative processes.

Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
