POSITION SUMMARY

The role supports the coordination of key operational activities, including administrative processes, communications, and event logistics, ensuring tasks are delivered efficiently and in alignment with established procedures. It contributes to the planning and delivery of ARG projects and institutional events, such as graduation and scholarship ceremonies, by supporting coordination, tracking, and execution activities.

Working closely with ARG teams and stakeholders, the position supports organised workflows, facilitates information management and communication, and assists in maintaining consistent and high-quality service delivery across functions.

The role also contributes to continuous improvement initiatives by identifying operational inefficiencies and supporting enhancements to processes, systems, and ways of working to improve efficiency and effectiveness.

KEY ACCOUNTABILITIES

  • Provide operational and administrative support to enable the effective delivery of services, projects, and activities across the Academic Registrar’s Group (ARG), ensuring tasks are completed accurately and in a timely manner.
  • Coordinate day-to-day administrative processes across ARG, including managing requests, tracking tasks, and supporting workflow organisation to ensure efficient and consistent service delivery.
  • Support the planning and delivery of ARG projects and initiatives by coordinating activities, tracking progress, and assisting with implementation tasks under the guidance of senior staff.
  • Assist in the coordination and delivery of key ARG events and institutional activities, including graduation and scholarship ceremonies, with a focus on logistics, scheduling, and on-the-ground execution.
  • Support the preparation, coordination, and publication of ARG communications, including website content, newsletters, reports, and guidance materials for students and staff.
  • Maintain and organise information, documentation, and records related to ARG operations, projects, and events, ensuring accuracy, accessibility, and alignment with institutional requirements.
  • Support financial and administrative processes related to ARG operations and events, including processing purchase requests, tracking expenditures, and coordinating with Finance and Procurement in line with established procedures.
  • Act as a coordination point for shared administrative services within ARG, including managing service accounts, responding to enquiries, and directing requests to appropriate teams.
  • Collaborate with internal stakeholders across the student lifecycle to support coordinated service delivery and contribute to the smooth execution of ARG activities and projects.
  • Contribute to continuous improvement by identifying inefficiencies in administrative and operational processes and supporting the implementation of practical improvements to enhance efficiency and service quality.
  • Other duties commensurate with the scope of the role

KEY SELECTION CRITERIA

  • A relevant tertiary qualification in business administration, project management, communications, or a related discipline, or an equivalent combination of relevant experience.
  • Demonstrated experience (typically 1–3 years) in administrative, operational, or project support roles, preferably within a higher education or complex organisational environment.
  • Proven ability to coordinate tasks, manage competing priorities, and support the delivery of projects, events, or operational activities in a structured and timely manner.
  • Strong organisational skills and attention to detail, with the ability to manage information, documentation, and processes accurately.
  • Effective communication and interpersonal skills, with the ability to work collaboratively with a range of internal stakeholders and support clear information sharing.
  • Experience supporting the coordination of events, activities, or projects, including logistics, scheduling, and administrative processes.
  • Familiarity with basic financial and administrative processes, including purchase requests, expense tracking, or coordination with finance functions.
  • Proficiency in Microsoft Office and experience using enterprise systems, databases, or digital tools for administrative or operational purposes.
  • Ability to identify inefficiencies in processes and support the implementation of practical improvements to enhance operational effectiveness.
  • Demonstrated commitment to service quality, teamwork, and continuous improvement
