Description

We are seeking a highly motivated, energetic, and business-minded Executive Assistant to support a senior executive in a fast-paced, international environment.

This is not a traditional administrative role. In addition to managing executive priorities, you will play an active role in business operations, cross-functional coordination and project execution. The ideal candidate is intellectually curious, resourceful, highly organised, and excited by the opportunity to gain exposure to senior leadership and business decision-making.

Regular regional and international travel is an essential part of this role.

Key Responsibilities
Executive Support
  • Manage complex calendars, appointments, meetings, and travel arrangements across multiple time zones.
  • Coordinate internal and external meetings, including agenda preparation, minutes, and follow-up actions.
  • Manage correspondence, communications, and confidential information with professionalism and discretion.
  • Anticipate executive needs and proactively resolve scheduling and operational challenges.
Business & Strategic Support
  • Support business planning, special projects, and strategic initiatives driven by senior leadership.
  • Conduct market, industry, competitor, and business research to support decision-making.
  • Prepare high-quality presentations, briefing materials, reports, and executive communications.
  • Track key business priorities, action items, and project milestones across teams.
  • Participate in business reviews, leadership meetings, and stakeholder discussions.
  • Liaise with internal departments and external partners to drive execution and follow-through.
Travel & Stakeholder Management
  • Accompany executives on domestic and international business trips when required.
  • Coordinate travel logistics, meeting arrangements, events, and customer engagements.
  • Build effective relationships with senior stakeholders, clients, business partners, and internal teams.
  • Represent the executive office professionally in both internal and external interactions.
Requirements
  • Bachelor's degree in Business Administration, Finance, Communications, Marketing, Hospitality, or a related discipline.
  • 3–8 years of experience in Executive Assistant, Personal Assistant, Chief of Staff, Project Coordinator, Management Associate, Consulting, or similar roles.
  • Fluent in English, Mandarin, and Cantonese, with strong written and verbal communication skills.
  • Willingness and flexibility to undertake frequent regional and international travel.
  • Strong organisational and multitasking skills with exceptional attention to detail.
  • Ability to work independently, manage ambiguity, and prioritise competing demands.
  • High level of integrity and ability to handle confidential information.
Preferred
  • Experience supporting C-suite or senior executives.
  • Exposure to business operations, strategy, project management, consulting, investment, technology, or professional services environments.
  • Advanced PowerPoint and Excel skills.
  • Experience preparing executive-level presentations and reports.
