Medical Assistant – Administrative (MA-A)

Position Overview

The Medical Assistant – Administrative (MA-A) serves as the front-line operational gatekeeper of the clinic. This role directly impacts patient experience, provider efficiency, and revenue integrity by ensuring that every administrative touchpoint is executed with precision, consistency, and professionalism.

At Impireum, this is not a basic front desk role—this is a high-accountability position where performance is measured by accuracy, timeliness, and the ability to prevent operational breakdowns before they occur.

Core Responsibilities

Patient Experience & Front Desk Operations

• Manage patient check-in and check-out with professionalism and efficiency
• Serve as the first and last point of contact for all patients
• Ensure all patient interactions align with Impireum’s service standards

Scheduling & Workflow Control

• Schedule, reschedule, and confirm appointments with accuracy
• Maintain provider schedules to optimize utilization and minimize gaps
• Coordinate patient flow to prevent delays and bottlenecks

Insurance & Data Accuracy

• Verify insurance eligibility and benefits prior to visits
• Ensure patient demographics and records are accurate and complete
• Identify and correct errors proactively to prevent billing issues

Communication & Coordination

• Manage high-volume phone calls and patient inquiries
• Route calls and messages appropriately and efficiently
• Communicate effectively with clinical and administrative teams

Performance Expectations (KPI-Aligned)

• Scheduling accuracy and appointment utilization
