Description
The Curriculum and Academic Operations Specialist serves as the College’s operational expert for curriculum systems, ensuring the integrity of institutional data and supporting student success through efficient, accurate, and compliant academic operations. This position reports to the Associate Vice President of Learning and Workforce Development. The position collaborates with academic leadership to improve processes, leverage technology, and advance institutional effectiveness while maintaining compliance with NCCCS, SACSCOC, and College policies.
The Curriculum and Academic Operations Specialist serves as the primary liaison between the College and the North Carolina Community College System (NCCCS) Programs Division, ensuring all curriculum programs, courses, and associated documentation meet NCCCS standards, accreditation expectations, and institutional policies.
This role supports the development, implementation, and continuous improvement of curriculum programs by providing expertise in program compliance, data systems, and institutional processes, while maintaining a high level of accuracy, timeliness, and collaboration across academic divisions.Operational Excellence & Technology

- Utilize technology and automation tools to improve efficiency and accuracy of curriculum processes.
- Develop standardized workflows, documentation, and operating procedures for curriculum operations.
- Analyze operational processes and recommend continuous improvements that enhance service delivery and compliance.
- Support implementation and testing of new academic technologies.
- Develop reports that support institutional planning and decision-making.
- Collaborate with Institutional Effectiveness to validate curriculum data for reporting and strategic planning.
- Support internal and external audits through timely preparation of required documentation.
- Coordinate curriculum governance processes and meeting materials with Curriculum Review Committee Chair.
- Prepare agendas, documentation, and official records for curriculum review activities in coordination with Curriculum Review Committee Chair.
- Track action items and ensure timely implementation of approved changes in coordination with Curriculum Review Committee Chair.
- Enter and maintain all curriculum programs of study in Colleague annually with a high level of accuracy.
- Ensure all programs of study align with NCCCS curriculum standards and institutional requirements.
- Ensure synchronization between curriculum management systems, catalogs, degree audits, and student information systems.
- Coordinate implementation of approved curriculum changes across institutional systems and publications.
- Maintain historical documentation supporting curriculum revisions and approvals.
- Serve as a resource to department heads regarding program compliance and documentation standards.
- Collaborate with academic leadership to optimize course scheduling for student completion and efficient resource utilization.
- Analyze scheduling trends and enrollment patterns to support strategic planning.
- Assist in identifying opportunities to improve classroom utilization and instructional efficiency.
- Design and maintain standardized processes and tools (e.g., planning sheets) for course submission.
- Input and manage the semester course schedule in Colleague.
- Ensure adherence to Combined Course Library and NCCCS guidelines.
- Verify accuracy of census dates, add/drop deadlines, and course details.
- Identify and proactively resolve room conflicts in collaboration with department heads and academic deans.
- Import and maintain scheduling data in 25Live and serve as a designee for room/event scheduling.
- Coordinate onboarding and offboarding processes for adjunct faculty in collaboration with the Business Office and department heads/WCE Coordinators/academic deans.
- Generate and manage adjunct faculty contracts each semester.
- Ensure contract accuracy, including course assignments, compensation, and credentials alignment.
- Monitor timelines and ensure timely submission of contracts.
- Maintain organized and compliant personnel records for adjunct faculty.
- Facilitate and coordinate the faculty credentialing process for all curriculum and adjunct faculty in coordination with department heads/WCE Coordinators/academic deans.
- Collect, verify, and maintain required documentation (transcripts, certifications, work experience) to ensure compliance with SACSCOC, NCCCS, and institutional credentialing standards.
- Ensure credentialing documentation is complete, accurate, and audit-ready.
- Coordinate faculty credential reviews during accreditation and compliance audits.
- Provide guidance to department heads on credentialing requirements for new hires and course assignments.

- Facilitate the administration and implementation of course evaluation processes for all curriculum courses.
- Coordinate timelines and communication related to course evaluations with faculty and division leadership.
- Manage survey tools and distribution (e.g., Colleague, survey platforms).
- Ensure data integrity, confidentiality, and compliance with institutional policies.
- Compile and distribute course evaluation results to appropriate stakeholders.
- Support analysis and continuous improvement efforts by ensuring evaluation data is accessible and usable for program review and decision-making.
- Serve as a subject matter expert on NCCCS curriculum standards and approval processes.
- Provide technical guidance throughout curriculum development and revision processes.
- Ensure all changes comply with NCCCS standards and institutional requirements.
- Coordinate workflow and approval timelines for curriculum proposals.
- Coordinate the preparation and submission of NCCCS documentation.
- Ensure all approved changes are accurately reflected in the catalog of record and institutional systems.
- Serve as the primary point of contact for NCCCS Programs Division communications.
- Ensure timely and accurate responses to all NCCCS inquiries and submissions.
- Maintain strong working relationships with internal and external stakeholders.
- Serve as the designee for room/event scheduling via 25Live.
- Prepare, ensure accuracy and distribute the college Weekend Report detailing instructional and campus weekend activities.
- Provide process improvement recommendations to enhance efficiency, accuracy, and compliance across curriculum operations.
- Support data reporting and institutional effectiveness efforts related to curriculum operations.
- Serve as a backup for WCE operations to include course builds and contract generation.
- Associate degree in business or related area or a combination of education and experience
- Two-years of progressively responsible experience
- One year of documented experience in generating and maintaining accurate reports using office software such as Word, Excel, and Publisher.
- Two-years of strong customer service experience in an educational setting.
- Bachelor’s degree in business or related area
- Experience with ERP systems (Colleague or equivalent)
- Experience with scheduling software
- Experience with accreditation or regulatory compliance
- Experience using data visualization and reporting tools
- Experience supporting curriculum governance processes
