SUMMARY (Why) – Purpose of the position


 

Purpose: The Specialist, SNC Process supports the daily operation of the global Supplier Notification of Change (SNC) intake, validation, assessment, categorization, prioritization, routing, monitoring, and escalation process. The role applies established procedures and decision criteria to ensure supplier notifications are accurately evaluated, documented, and assigned to the appropriate functional owners. 

The Specialist manages routine and moderately complex notifications, maintains accurate process records, monitors queues and service levels, and escalates exceptions, delays, ownership gaps, and potential risks to the Sr. Specialist or Leader, SNC Process. 

 

Scope boundary: This role does not own or execute technical, quality, regulatory, planning, manufacturing, supplier-management, or other functional actions arising from an SNC and is not accountable for final SNC closure. Execution and closure remain with the designated functional owners. The Specialist monitors status, provides visibility, and escalates according to the governance model. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES (What)

 

SNC Intake, Validation & Routing 

·         Perform daily intake, validation, assessment, categorization, prioritization, and routing of SNC submissions. 

·         Verify that submissions contain the minimum information required for triage and apply approved decision criteria and routing rules. 

·         Manage routine and moderately complex notifications and escalate complex, high-impact, ambiguous, or time-sensitive cases. 

·         Identify incomplete, duplicate, misclassified, or incorrectly routed submissions and coordinate clarification or reassignment. 

·         Maintain complete and audit-ready records of triage decisions, rationale, ownership assignment, and escalation history. 

 

Operational Monitoring & Escalation 

·         Monitor SNC queues, backlog, aging, triage cycle time, SLA performance, and exceptions. 

·         Track the status of actions owned by designated functions without assuming responsibility for execution or closure. 

·         Escalate overdue actions, unresolved ownership, SLA breaches, and potential supply continuity risks through defined channels. 

·         Communicate clear status updates that distinguish triage status, functional ownership, open risks, and required next steps. 

 

Stakeholder Support & Collaboration 

·         Provide process guidance to SNC submitters and internal stakeholders regarding intake requirements, status, and routing. 

·         Collaborate with Procurement, Quality Assurance, Supplier Quality, Manufacturing Sites, Planning, R&D, Regulatory Affairs, Engineering, Category Management, IT, and other impacted teams, as applicable. 

·         Support clarification of information, ownership, and escalation needs while preserving accountability with the designated functional owner. 

·         Refer policy exceptions and complex process interpretations to the Sr. Specialist or Leader, SNC Process. 

 

Process Compliance & Documentation 

·         Follow approved procedures, work instructions, decision trees, routing matrices, controls, and escalation paths. 

·         Participate in case-quality reviews and calibration sessions and implement agreed feedback. 

·         Maintain process documentation, knowledge articles, training materials, and audit evidence. 

·         Identify recurring data-quality issues, process deviations, and control gaps and report them to the Sr. Specialist or Leader. 

 

Performance Reporting & Continuous Improvement 

·         Maintain accurate source data and support preparation of operational dashboards, reports, and stakeholder updates. 

·         Analyze basic trends in volume, categories, backlog, aging, routing, and SLA performance. 

·         Participate in root cause analysis for triage errors, ownership gaps, and recurring process issues. 

·         Identify opportunities for standardization, portal adoption, workflow enhancement, reporting improvement, and automation. 

·         Support testing, implementation, and adoption of approved process and technology enhancements.

QUALIFICATIONS

 

1.     Education & Experience

  • Bachelor's degree in Supply Chain, Procurement, Quality, Engineering, Business Administration, Operations Management, or a related field. 
  • 2-5 years of relevant experience in Procurement, Supply Chain, Quality, Operations, Supplier Management, workflow support, or process governance. Equivalent combinations of education and experience may be considered. 
  • Experience with supplier notifications, quality or change-control processes, supplier portals, workflow systems, supply continuity, or process governance is preferred. 
  • Experience supporting global cross-functional processes and maintaining operational data and documentation.

3.     Technical Skills

  • SNC and supplier notification platforms: working knowledge of SNC intake portals, SQLM, TrackWise, or comparable workflow systems, as applicable. 
  • Workflow and collaboration tools: ServiceNow, Microsoft 365, Teams, SharePoint, and case-management solutions. 
  • Analytics and reporting: strong Excel skills and working knowledge of Power BI for data validation, KPI tracking, backlog visibility, and reporting. 
  • Procurement systems exposure: Coupa and JD Edwards knowledge is an advantage where relevant to SNC assessment or stakeholder support.
