Insurance Agency Operations & Systems Manager

Build the operating backbone of a high-growth insurance agency platform as it scales through acquisitions, standardizes workflows across offices, and brings Applied Epic, AI, automation, and analytics deeper into day-to-day agency operations. This is a hands-on role for an insurance operations systems expert who wants real ownership: you will help agency teams work smarter, integrate newly acquired businesses, and create the processes and tools needed to support ambitious growth.

The Opportunity

Our client is a private-equity-backed retail insurance agency platform serving individuals and small businesses across the Southeast. The business is acquiring, integrating, and growing local agencies with the goal of becoming a best-in-class insurance organization and scaling meaningfully over the next several years.

As the Insurance Agency Operations & Systems Manager, you will report to the Director of Business Operations and become the go-to owner for Applied Epic, core agency systems, cross-agency operating processes, and automation initiatives. You will work closely with agency leaders, process champions, external system partners, and cross-functional teams to make sure every office can adopt consistent workflows, use data effectively, and operate with increasing efficiency.

This role is ideal for someone who can move comfortably between systems administration, process improvement, team enablement, and post-acquisition integration. You should enjoy solving practical operational problems, coaching non-technical teams, and building scalable infrastructure in an entrepreneurial environment.

What You Will Own

Systems, Applied Epic, and Team Enablement

  • Serve as the company’s power user for Applied Epic, including configuring, deploying, and improving how the organization uses the platform.
  • Help roll out the latest Applied Epic features, capabilities, and system improvements across agency teams.
  • Manage deployment, integration, and administration of key systems, including agency management systems, CRM, telephony, AI tools, analytics, reporting, and related platforms.
  • Work with external technology and system partners to support system configuration, integrations, troubleshooting, and enhancements.
  • Coach agency teams on how to use technology, reporting, and workflow tools to their full potential.
  • Build and apply an AI and automation toolkit to reduce manual work and improve how agency teams operate.

Operational Excellence Across Agencies

  • Own cross-agency standard operating procedures and help drive consistent execution across multiple offices.
  • Partner with sales leaders and agency process champions to identify, analyze, and fix operational gaps.
  • Improve workflows that affect sales, service, reporting, data quality, and team productivity.
  • Identify process issues that create data-quality problems, then implement practical fixes that teams can actually adopt.
  • Continuously evaluate opportunities to improve operational effectiveness and implement best practices across the platform.

Post-Acquisition Integration

  • Manage execution of the post-acquisition integration playbook as new agencies join the platform.
  • Coordinate integration work across functions such as finance, HR, IT, sales, and service.
  • Support newly acquired teams through systems onboarding, workflow adoption, and operating model alignment.
  • Track integration KPIs to help capture expected value and improve the integration process over time.

Strategic Projects

  • Lead high-priority initiatives that help scale the agency platform, support organic revenue growth, or expand margin.
  • Translate strategic priorities into clear projects, operating rhythms, workflows, and measurable improvements.
  • Balance independent execution with cross-functional collaboration in a fast-paced, distributed environment.

What Makes You a Strong Fit

  • You have hands-on experience improving insurance agency operations, workflows, processes, or systems.
  • You have strong Applied Epic experience and can operate as a practical power user, administrator, or systems owner.
  • You understand how agency management systems support producers, service teams, reporting, data quality, and leadership visibility.
  • You have a track record of deploying new tools, optimizing processes, defining standard operating procedures, or implementing best practices.
  • You are comfortable coaching non-technical users through system and process adoption with patience, clarity, and credibility.
  • You can diagnose operational problems, prioritize competing needs, and run multiple projects at once.
  • You are analytical, organized, and action-oriented, with the ability to move from problem identification to implementation.
  • You thrive in a high-growth, entrepreneurial environment where systems and processes are still being built and improved.

Nice-to-Haves and Transferable Backgrounds

  • Experience with Vertafore or another major agency management system in addition to Applied Epic.
  • Experience supporting M&A integration, agency onboarding, or multi-location operating model standardization.
  • Exposure to insurance automation, AI-enabled workflows, reporting tools, analytics platforms, CRM systems, or telephony systems.
  • Background in insurance operations, business operations, systems administration, process improvement, or consulting-style operational execution.

Location, Travel, and Work Model

  • South Florida-based candidates are preferred, and remote candidates will also be considered.
  • The role includes travel to agency offices, especially during acquisitions, onboarding, and integration periods.
  • Travel may be up to 50% at times, with a sporadic cadence depending on acquisition and project activity.
  • Current office locations include Florida markets such as Miami, Key Largo, Boca Raton, and Port St. Lucie.

Compensation

The expected total compensation range is USD 90,000–135,000 Yearly.
