Join our Administrative Team as a Office Services Clerk located in our Tallahassee office.
This role will be based in our Tallahassee office, on an in-office full time basis, Monday-Friday, 9 am-6 pm. Regular in-office presence is required for day-to-day operations, as well as for team meetings, training opportunities, and relationship building. This role reports to the Office Services Supervisor.
Position Summary:
The Office Services Clerk will perform various general office tasks essential to the day-to-day business operations in a fast paced, professional environment. The Office Services Clerk works as part of a team under the direction of the Office Services Supervisor. The ideal candidate will have excellent organizational skills and a professional demeanor. Candidate should also be flexible to work overtime as needed.
Key Responsibilities:
Assists with facilities setup and equipment support; takes inventory of such equipment and copiers
Performs office services tasks including internal mail delivery, arranging for messenger services, processing incoming and outgoing mail, faxing, handling large print, scan and/or copy orders
Accurately and thoroughly maintains visitor/delivery logs and outgoing packages
Orders catering, assists with setup for all meetings and events
Purchases, tracks, and stocks food/beverage supplies in kitchen and conference rooms; identifies and works with vendors as appropriate for purchasing needs
Monitors office supplies and orders new stationery, furniture, appliances, and electronics as required
Drafts and publishes office directory and floor plan
Performs receptionist duties, as backup
Maintains high degree of professionalism and confidentiality
Assists with other department activities as needed, such as processing invoices and expenses, and performs additional duties and responsibilities as assigned

Candidate must be a self-starter who can work independently with minimal supervision
High attention to detail, outstanding organizational skills and the ability to manage time effectively
Education & Prior Experience
High School Diploma; College Degree in Hospitality Management is a plus
One to three years of experience in a law firm or professional services environment
Experience working with network and local printers, scanners, advanced copiers and other hardware peripherals
Exceptional computer skills with the ability to learn new software applications quickly
Technology
Proficiency with Windows-based software and Microsoft Word, Excel and Outlook required
Understanding of AI capabilities, limitations, and responsible use in a professional environment.
Familiarity with, or willingness to learn, firm-approved AI tools (e.g., Copilot, ChatGPT, or similar platforms) to support daily workflow and/or improve work quality.
Exceptional computer skills with the ability to learn new software applications quickly
Physical Requirements
While performing the duties of this job, the employee is occasionally required to move from workstation or desk throughout the work area to work independently or with a team to meet with colleagues or supervisor and retrieve work assignments
This position may also be sedentary and require the employee to sit for extended periods of time
Requires manual dexterity to dial a telephone, enter data into a computer, handle objects, and operate tools
Some filing is required and this would entail the ability to lift files, open filing cabinets, and bend or stand as necessary
