Description

The CTE Enrollment Specialist must be proficient with processes related to Admissions, Registration, Financial Aid, Orientation, Assessment, Business Support, and work effectively & efficiently to resolve escalated issues for students enrolling in CTE programs in the school of Advanced Manufacturing, Engineering and Applied Sciences and any other applicable CTE programs. Must have in-depth knowledge regarding industry and college relevant to students pursuing careers in technical programs. Provide knowledge to students about the functions listed above and effectively enroll and transition students into the Ivy Tech community.

This position is funded through Perkins funds, with grant funding scheduled to end in June 2027. Continued employment beyond the grant funding period is not guaranteed and will be contingent upon the availability of alternative funding or renewal of the grant.

Major Responsibilities:  

  • Provide assistance to prospective, applied, and current students covering a wide range of detailed information relevant to students pursuing Career and Technical Education.
  • Handle incoming calls related to CTE programs for the Enrollment Center and Tier 3 SmartView ticket escalations from the Blackboard Answer Center.
  • Assist students in completing online processes including admissions applications and online orientation, including helping them access information in MyIvy, IvyLearn, and other online platforms.
  • Answer questions and assist with inquiries and completion of items related to the application for financial aid (FAFSA), verification, loan program eligibility and requirements, standards of progress, state and federal awards, scholarships, workstudy opportunities, veteran benefits, Pell lifetime eligibility, employment and industry trends, career guidance, and questions regarding the financial implications of repeating coursework.
  • Answer questions and assist with processes related to assessment test questions and/or reviewing assessment test scores.
  • Answer inquiries related to 1098T, Bookstore accounts, fund disbursements, refunds and withdrawal refunds, Higher One, tuition and fees, payment options, accounts, collections, and bursar holds.
  • Escalate complex issues and questions to subject matter experts. 
  • Make appropriate referrals to other campus departments and campus resources including, but not limited to: Career Services, Workforce Alignment, Advising, Tutoring, and Academics

All responsibilities will be conducted within the parameters of the Family Educational Rights and Privacy Act (FERPA), other applicable regulatory requirements, and professional standards 

Hiring Range:

This role is budgeted between $40,000 - $44,000 per year.

Work Hours/Location:   • Daytime hours. Evenings and weekends may be required during peak enrollment seasons or as needed

Minimum Qualifications:

  • Associate degree required
  • Two years of relevant experience.
  • Must possess strong customer service and interpersonal skills.
  • Must demonstrate ability to promote an environment that reflects the broad backgrounds represented by our students and employees and which every individual feels respected and valued.

Preferred Qualifications:

  • Bachelor’s preferred.  
  • Prefer at least two years of direct experience in one or more of the following: CTE, registration, records, financial aid, admissions, or higher education.  
  • Understanding of industry trends and applicability of CTE toward achieving individual outcomes. 

Official college transcripts required upon hiring, and employment contingent on acceptable criminal background checks.
