The Retreat at Ladys Island is seeking a Campus Facilities Director to oversee 2 communities.


The Campus Facilities Director reports directly to the Executive Director of their assigned home base community.  


PURPOSE

The Campus Facilities Director is responsible for providing overall leadership and management of the facilities management operations of the multiple communities assigned to them or the community campus they are assigned to. The primary responsibility is maintaining a safe, clean and comfortable environment for the residents. This is accomplished by having extensive knowledge of all building systems and related code requirements. Systems include plumbing, HVAC, electrical and equipment repair. The position requires a team player with sound supervisory, organizational and time management skills that interacts positively with all team members to meet the community’s objectives.


PRINCIPLE DUTIES AND RESPONSIBILITIES

Community Operations


  • Review the maintenance log daily and assign tasks to staff.
  • Plans, organizes, develops and leads the overall facilities management operations which may include maintenance, housekeeping, laundry and security in accordance with federal, state, local laws and Phoenix standards, guidelines and regulation.
  • Review the maintenance log daily, assign, and oversee staff completion of minor repairs such as replacement of faucet washers and spindles, faulty window latches, broken tank toilet handles, unplugging clogged toilets and drains, changing light bulbs, tightening loose hinges or door mechanisms, diagnostic & repair of stand-alone saflok door lock units i.e. batteries replacement and general maintenance
  • Responds to all building emergencies and directs others based on the situation.
  • Acts as the liaison with respect to the Executive Director and external vendors.
  • Reviews, reads, notates and initializes Daily Log and Maintenance Log to document and learn about pertinent information and any resident’s physical and behavioral change; responds in a timely manner to request and concerns from residents, family members and associates.
  • Monitors and periodically inspects the building façade for damages and needed repairs.
  • Ensures the grounds are properly maintained to include trash collection, maintaining the dumpster areas and frequent cleaning of all first impression areas by associates. 
  • Ensures all associates completes all task outlined in the Facility Management Maintenance Manual.
  • Effectively coordinate the efforts of consultants, contractors and Phoenix resources to complete large scale projects.
  • Oversees associates completion of touch up paint jobs, furniture refinishing, furniture moving, transportation of extraneous materials for elimination to proper sites.


Mechanical Systems

  • Oversees and monitors the HVAC system to ensure proper air quality and comfortable temperatures are felt throughout the community.
  • Oversees the tests, scheduled inspections and maintains proper documentation on the fire protection system.
  • Responsible for the overall testing process of low voltage systems as required.
  • Monitors and evaluates the interior and exterior lighting.
  • Monitors and evaluates the plumbing system which includes monitoring and adjusting the resident accessible domestic hot water system to ensure code compliance.
  • Responsible for the overall preventive maintenance task and process.

Training / Leadership

  • • Completes All Core Phoenix Academy, job specific training in the timeframe designated.
  • • Completes all training required by the state or other regulating authorities including ongoing training per regulation.
  • • Supports the Regional Director of Facilities by providing technical training to other communities as requested.
  • • Trains associates on the following
  • o Location and operation of all utility shut offs.
  • o Emergency response protocols
  • o Safe chemical handling and usage
  • o Housekeeping procedures if housekeeping operations are within leadership scope.
  • o Laundry procedures if laundry operations are within leadership scope.
  • o Security procedures if security operations are within leadership scope.
  • • Overall Management of the department, including but not limited to recruiting, hiring, training, coaching and disciplining.
  • • Daily review of timekeeping practices and payroll reports to ensure all hours worked are recorded and appropriately paid.
  • • Attends regular meetings; Stand up, Cross over, Department Director meetings, Town Hall, Quality Improvement and other as directed by the Executive Director
  • • Keeps abreast of professional developments in the field by reading, attending conferences and training sessions.
  • • Develops a working knowledge of state regulations and ensures compliance through supervising and coaching team.
  • • Holds team accountable and corrects actions when necessary and documents.
  • • Conducts timely performance appraisals with meaningful conversations.
  • Sales
  • • Partner with the Community Relations Director and Assistant, to ensure set up, arrange, and remove decorations, tables, chairs, furniture to prepare a move for a new move-in and/ or model suite.
  • Compliance/Safety
  • • Partners with department directors to ensure community is in compliance with OSHA requirements and promotion of Risk Management programs and policies; adheres to safety rules and regulations
  • • Practices safety procedures always including Personal Protective Equipment (PPE), fire extinguishers, SDS (safety Data Sheets) and Lockout Tagout procedures.



Requirements

EDUCATION/EXPERIENCE/LICENSURE- CERTIFICATION


  • Education: High School Diploma/ GED required
  • Two (2) years supervisory and management experience including hiring staff, coaching, performance management daily operations supervision, discipline, and counseling.
  • Three (3) years facilities experience demonstrating extensive knowledge of systems such as HVAC, plumbing, electrical, mechanical and code compliance.
  • Certification may be required per state.
  • Experience preferred in maintaining water heat source pumps.



SKILLS AND ABILITIES 


  • Understanding of infection control procedures
  • Possess extensive knowledge of all fire & life safety regulations and OSHA regulations.
  • Demonstrate the ability to Multitask and Manage Stress
  • Understands and embraces the assisted living philosophy.
  • Ability to work weekends and evenings and flexible hours, available for our customers at peak service delivery days and times.
  • Ability to delegate assignments to the appropriate individuals based on their skills, roles and interests.
  • Possess written and verbal skills for effective communication and the ability to facilitate small group presentations.
  • Demonstrating tact and a helpful attitude are necessary pre-requisites for a customer-service oriented environment.
