Full-Time, 32–40 hours/week | Non-Exempt | $23–27/hour

About the Opportunity

PAI is looking for a Recruiter & HR Assistant - the friendly first point of contact for our HR department, and the person who keeps PAI staffed with good people.

Direct Support Professional (DSP) hiring is steady, ongoing work in this field, and having a strong bench is what lets us deliver consistent, high-quality care. This role exists to keep that pipeline healthy so that staffing is never what holds us back.

What You'll Own

Recruiting & Staffing - Your Top Priority

  • Own recruiting for most positions across PAI, with DSP roles as the ongoing priority given how central they are to the care we provide.
  • Post and manage job openings across multiple platforms (Indeed, ZipRecruiter, LinkedIn, Glassdoor, paimn.org, and others as needed), and source candidates through job boards, community outreach, referrals, and other strategies.
  • Build and maintain a pipeline of qualified candidates so DSP and other roles can be filled quickly when they open.
  • Review applications, conduct initial candidate screenings, schedule interviews, and coordinate with hiring managers.
  • Communicate clearly and warmly with candidates throughout the hiring process. You're often the first impression someone has of PAI, and that matters to us.
  • Track candidate progress from application through hire, and support efforts to reduce time-to-hire.
  • Maintain accurate applicant tracking in UKG or other systems, and track recruiting metrics such as applications, interviews, hires, and time-to-fill.
  • Help create job flyers and materials for job fairs and other recruiting events.

HR & Onboarding Support

  • Manage the logistics of onboarding, including deadlines, hiring forms, background studies, fingerprinting, and other compliance documents.
  • Welcome new employees through New Employee Orientation (NEO), and follow up to make sure all orientation paperwork is complete and properly filed.
  • Track and manage employee changes (status changes, I-9 documentation, vehicle insurance, required certifications, and the like).
  • Support benefits administration, including enrollment for new hires, tracking benefit-eligibility dates, reviewing invoices, and coordinating with Payroll. As you grow into the role, you'll take on coordination of our annual open enrollment process.
  • Provide administrative support to our admin office, including occasional support for the President, along with general office duties (supplies ordering, correspondence, mail, and greeting guests).

Compliance & Recordkeeping

  • Complete reference and background checks, motor vehicle record reports, and other required employee documentation.
  • Assist in collecting applicant data for Affirmative Action / Equal Opportunity reporting.
  • Serve as a day-to-day resource on PAI's HRIS system, including training new employees on Employee Self Service (ESS).

What You Bring

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Two or more years of experience in recruiting, human resources, or an office/administrative role with significant HR involvement.
  • Comfort working in a busy environment where hiring moves quickly. You should feel energized, not overwhelmed, by managing several open roles at once.
  • Excellent attention to detail to ensure accurate, high-quality work.
  • A helpful, friendly approach with everyone you work with - employees, applicants, the people we serve, and vendors alike.
  • Strong communication and organizational skills, with the ability to manage competing priorities and deadlines.
  • Comfort using technology including email, scheduling tools, and HR/applicant tracking systems; familiarity with UKG a plus.
  • Experience with high-volume or hourly recruiting a plus; understanding of DSP, Employment Specialist, or similar direct-care roles a plus.
  • Experience with AI tools a plus.
  • Must pass a DHS background study and OIG review.
  • Valid driver's license, personal vehicle available for work purposes, and vehicle insurance.
  • Proficiency in Microsoft Office, including Excel and PowerPoint.
