Job Purpose/ Summary:
The Benefit Services Front Desk Coordinator position is responsible for handling all communications with clients, visitors, colleagues, and supervisors. This position is responsible for assisting potential Supplemental Nutrition Assistance Program (SNAP) and other clients in eligibility prescreening and application assistance. The Benefit Services Front Desk Coordinator will strive to foster a positive image of the SNAP Program and to ensure the highest-quality service to prospective clients, agency partners, and internal personnel.
Essential Job Functions:
The following duties are considered essential functions of this position. Other duties may be assigned as needed.
- Handle incoming calls, determine the purpose of callers, and forward calls to the appropriate personnel, department, or voicemail, retrieving and forwarding messages from main voicemail boxes as needed.
- Welcome on-site visitors, determine the nature of their business, and announce visitors to appropriate personnel, maintaining knowledge of organizational events and meetings to assist and direct visitors accordingly.
- Maintain a friendly and positive environment by communicating professionally and helpfully with clients, visitors, colleagues, and supervisors.
- Maintain literature and materials in the lobby area, keeping the space neat and clean for guests.
- Assist neighbors, in person or by phone, with SNAP applications, referrals to local food pantries, and program registrations.
- Make follow-up phone calls and send follow-up emails to neighbors as needed.
- Enter data into Three Square's computer system for tracking and reporting to grantors, donors, staff, and partners.
- Perform general office tasks, including filing, photocopying, and collating.
- Receive office shipments and route them to appropriate departments.
- Send, retrieve, and route incoming faxes.
- Maintain regular and consistent attendance.
- Manage confidential information, including conducting quality-control checks on SNAP logs containing confidential client information.
- Assign referrals to advocates and communicate with Healthcare Partners by email regarding referral updates.
- Manage and update the Healthcare Partnerships referral log for reporting purposes.
- Attend and assist with Farm Fresh Produce distributions, as needed.
Requirements
Education & Experience Requirements
- High School Diploma or equivalent required
- Valid driver’s license, safe driving record, current vehicle insurance, and ability to use a personal vehicle for Three Square business.
- Bilingual in Spanish is preferred.
Skills & Abilities
- Excellent customer service skills to effectively work in an environment of highly diverse people.
- Excellent basic computer skills (MS Office & Windows-based software)
- Excellent written and verbal communication skills

Work Environment
- Work is performed indoors in a climate-controlled office environment.
- Moderate noise levels as found in a business office with computer printers, households with TVs, kitchen appliances, and driving in light traffic.
- Occasionally exposed to outdoor weather conditions when traveling between buildings or attending off-site meetings and events.
- May occasionally enter warehouse areas, with brief exposure to temperature variation, dust, and elevated noise levels from motorized equipment.
