Overview

The Legal Administrative Assistant provides administrative and operational support to the Company’s attorneys and paralegals. Responsibilities include managing calendars and deadlines, organizing legal and corporate records, coordinating meetings and court-related matters, supporting outside counsel and vendor administration, and assisting with legal billing. This position requires discretion, accuracy, strong organizational skills, and the ability to manage multiple priorities in a fast-paced legal department.

This is an in office only opportunity in Pearland.

The essential job functions include but are not limited to:

  • Provide administrative support to attorneys and paralegals while maintaining a high level of confidentiality, integrity, discretion, and professionalism
  • Create, organize, and maintain electronic and physical legal matter files
  • Track deadlines, hearings, court settings, meetings, appointments, and other significant dates
  • Manage attorney and paralegal calendars, conference calls, appointments, and meetings
  • Answer, screen, and route telephone calls and other communications
  • Receive, sort, distribute, scan, and file incoming mail, correspondence, and documents
  • Prepare, format, proofread, and distribute letters, interoffice correspondence, reports, and responses to inquiries
  • Assist with the formation and maintenance of legal entities and the filing and organization of corporate records
  • Enter and maintain legal matters, entities, vendors, and related information in the Company’s legal matter-management system
  • Assist with the onboarding and administration of outside counsel and other legal vendors
  • Support the review, processing, and resolution of outside counsel invoices and vendor-related issues
  • Coordinate document execution, signature requests, and distribution of completed documents
  • Exercise sound judgment in prioritizing assignments and managing multiple tasks and deadlines
  • It is an essential function of this job for the employee to work in office/in the employee’s assigned work site. No remote work is available
  • Performs additional administrative duties as required

The position requirements include but are not limited to:

  • Three or more years of legal administrative support experience
  • High school diploma or equivalent required; college degree or relevant post-secondary education preferred
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint
  • Experience with TeamConnect or another legal matter-management or electronic filing system preferred
  • Strong organizational, calendaring, proofreading, and document-management skills
  • Excellent attention to detail and commitment to accuracy
  • Ability to handle confidential and sensitive information appropriately
  • Ability to manage multiple assignments, establish priorities, and meet deadlines
  • Self-motivated and dependable, with the ability to work effectively with limited supervision
  • Strong written and verbal communication skills
  • Professional demeanor and ability to interact effectively with employees, attorneys, courts, vendors, and other external parties
