- Lead by example in delivering a welcoming, professional, and hospitality-driven experience for all visitors, employees, and callers
- Ensure all interactions reflect confidence, responsiveness, and a high standard of customer service aligned with financial services industry expectations
- Oversee visitor check-in, badging, wayfinding, and office orientation processes to ensure seamless arrival experiences
- Act as escalation point for complex or sensitive situations, ensuring timely and appropriate resolution
- Maintain a front-of-house environment that is safe, clean, organized, and aligned with brand standards
- Oversee daily reception operations, including lobby management, meeting coordination, and conference room scheduling
- Ensure seamless coordination of meetings, events, and daily workplace activities
- Partner with Facilities, Security, and Workplace teams to support a safe and efficient environment
- Ensure work orders are created and tracked for maintenance, safety, and service needs
- Monitor compliance with security, privacy, and operational protocols
- Provide clear day-to-day direction and oversight to reception staff across assigned locations
- Establish expectations for service delivery, accountability, and professional conduct
- Serve as a subject matter expert for reception processes, systems, and client requirements
- Coach and develop team members to improve performance, confidence, and client engagement
- Foster a collaborative, team-oriented environment and drive consistent communication
- Coordinate staffing coverage, scheduling, and cross-training to ensure operational continuity
Reporting & Performance Management
- Own and deliver all required reporting (weekly/monthly metrics) within established timelines
- Consolidate and validate data from multiple sources to ensure accuracy and completeness
- Provide insights on trends, service volumes, and operational performance
- Identify gaps or inconsistencies and take corrective action proactively
- Support client presentations and reporting requirements as needed
Process Improvement & Operational Excellence
- Proactively identify opportunities to improve processes, streamline workflows, and enhance service delivery
- Drive consistency through adherence to standardized procedures and best practices
- Anticipate operational challenges and implement solutions independently
- Contribute ideas and insights that elevate the overall workplace experience
- Identify potential risks and escalate issues to prevent security breaches or operational disruptions
- Ensure adherence to all safety, security, and compliance requirements
- Maintain awareness of evolving workplace policies and procedures
- Minimum 3-5 years of supervisory experience in hospitality, customer service, or workplace services
- Previous experience in financial services environment preferred
- Demonstrated ability to manage and develop teams while maintaining high service standards
- Strong leadership and communication skills with ability to influence at all organizational levels
- Proficiency in Microsoft Office suite (Teams, Excel, PowerPoint, Word, and Outlook)
- Working knowledge of workplace management systems and technology platforms
- People Leadership: Proven ability to inspire, coach, and develop team members while driving accountability
- Service Excellence: Passion for delivering exceptional experiences that exceed client expectations
- Problem Solving: Strong analytical skills with ability to identify issues and implement effective solutions
- Communication: Professional verbal and written communication skills with ability to interact confidently with executives and visitors
- Adaptability: Flexibility to manage shifting priorities while maintaining consistent service delivery
