Description
About the Role
At H&R Block, we're helping people confidently navigate one of the most important financial moments of the year. Our lifecycle, CRM, and corporate communications teams carry that message directly to clients and to the organization, often several times a week. We're looking for a precise, calendar-driven Marketing Workflow Manager to manage how that work comes in, how it gets prioritized, and how it gets out the door.
These functions run a high volume of recurring, always-on work alongside campaign work and short-turn communications. In this role, you'll own the deployment calendar, protect contact frequency across business units, and hold the build, proof, and approval sequence ahead of every send.
You'll own intake across the functions, maintain the work queue, track capacity, and coordinate short-turn corporate communications against executive, legal, and external timing.
If you're the person who catches the conflict before two teams email the same audience on the same morning, we'd love to hear from you.
Day to day, you'll...
- Manage all incoming requests across lifecycle, CRM, and corporate communications
- Validate that requests are complete and tied to an approved campaign, initiative, or always-on program, with audience, timing, content source, and data requirements confirmed
- Maintain the deployment calendar, including send windows, audience and segmentation requests, and data pull deadlines
- Deconflict timing and contact frequency across business units
- Maintain the work queue and priority order across lifecycle, CRM, and corporate communications
- Flag requests that arrive too late for the requested send, conflict with an existing deployment, or duplicate work already scheduled
- Facilitate tradeoff conversations with GTM Strategy, Marketing Program Managers, and function leadership when demand exceeds capacity
- Track work through build, audience selection, content assembly, proofing, approval, and deployment
- Manage recurring always-on programs alongside campaign work
- Coordinate short-turn corporate communications against executive, legal, and external timing requirements
- Monitor progress against timelines and escalate risks to a scheduled send early
- Track capacity and utilization across lifecycle, CRM, and communications resources, including agency and vendor effort
- Provide visibility into available bandwidth to inform resourcing and sequencing decisions
- Communicate timelines, expectations, and status to requesters and leadership
- Surface recurring calendar conflicts and process gaps, and recommend improvements
Required Qualifications
- Bachelor's degree in Marketing, Business, Communications, Project Management, or a related field, or equivalent work experience
- 5+ years of experience in workflow management, traffic management, project management, marketing operations, or a related field
- Experience managing a recurring deployment or publishing calendar with fixed send dates and approval gates
- Experience managing intake, prioritization, and throughput for a marketing, creative, or media function
- Demonstrated ability to build and hold timelines with multiple dependencies and fixed deadlines
- Experience using a work management or workflow platform as the system of record, such as Workfront, Wrike, Asana, or Jira
- Proven ability to facilitate tradeoffs, renegotiate scope, and drive alignment without direct authority
- Experience tracking team capacity and utilization and translating it into resourcing recommendations
- Strong attention to detail and comfort managing a high volume of concurrent work
- Clear verbal and written communication with stakeholders at every level
- Ability to identify risks and blockers early and escalate with a recommended path forward
- Comfort operating in a fast-paced environment with seasonal peaks in demand
Preferred Qualifications
- Experience supporting email, SMS, push, or in-product messaging programs
- Experience supporting corporate, executive, or internal communications
- Experience working within a Marketing Operations, Program Management Office, or centralized workflow function
- Experience in Workfront, including request queues, templates, and reporting
- Experience supporting the transition of work from agency partners to in-house teams
