About the Role
Our client is seeking an Executive Admin Officer – Family Office to provide high-level executive, personal assistant and administrative support to the Board of Directors and senior management in Dubai.
This is a dynamic and varied position for a highly organised, dependable and proactive professional who can confidently manage multiple priorities, changing requirements and sensitive information.
The successful candidate will take ownership of the Family Office's day-to-day administration, executive scheduling, travel coordination, documentation, renewals and records while working closely with the Managing Director and Group CFO.
The role requires someone who anticipates requirements, follows tasks through to completion and ensures that important deadlines, documents and administrative matters do not fall through the cracks.
Key Responsibilities
- Executive Support: Provide comprehensive PA and administrative support to the Board of Directors and senior leadership.
- Calendar Management: Coordinate executive calendars, meetings, appointments, schedules and competing priorities.
- Travel Coordination: Arrange domestic and international travel, including flights, accommodation, airport transfers, itineraries and associated documentation.
- Travel Changes: Manage urgent and last-minute amendments to travel plans efficiently and accurately.
- Office Administration: Maintain and organise Family Office files, records, documents and administrative information across electronic and physical filing systems.
- Renewal Management: Monitor insurance policies, medical policies, memberships, registrations, renewals, expiry dates and other important documentation, ensuring timely follow-up and completion.
- Stakeholder Coordination: Liaise professionally with banks, insurers, advisors, service providers and other internal and external stakeholders as required.
- Management Support: Work closely with the Managing Director and Group CFO on scheduling, documentation, coordination, follow-ups and administrative assignments.
- Project Assistance: Support senior management with ad-hoc assignments, special projects and professional or personal administrative requirements connected with the Family Office.
- Confidential Handling: Manage sensitive correspondence, records, documents and private information with the highest standards of confidentiality, discretion and professionalism.
Candidate Requirements
- Relevant Experience: Minimum 3 years' experience in an Executive PA, Executive Assistant, Senior Administrator, Office Administrator or similar administrative position.
- Family Office: Previous experience within a Family Office, Private Office or supporting senior executives or business owners would be advantageous.
- Organisation Skills: Strong ability to organise information, schedules, documentation and multiple simultaneous priorities with close attention to detail.
- Proactive Approach: Demonstrated ability to anticipate requirements, take ownership of assignments and follow tasks through from instruction to completion.
- Confidential Handling: High level of discretion, integrity and professionalism when working with confidential business and personal information.
- Communication Skills: Strong written and verbal communication skills with the confidence to coordinate effectively with senior executives and external stakeholders.
- Systems Proficiency: Strong working knowledge of Microsoft Office, Outlook, Excel, electronic filing systems and executive calendar management.
- Flexible Approach: Adaptable and dependable, with the ability to respond effectively to changing priorities and occasional last-minute requirements.
