Client Services Manager – Hospice | North Bergen, NJ
BAYADA HOME HEALTH CARE is seeking a full-time Client Services Manager (CSM) for our New Jersey Hudson Hospice (NHH) office in North Bergen, NJ. This newly created, fully on-site role will be a central resource for hospice intake, client and family communication, service coordination, and office operations across Hudson County and surrounding areas, including Bergen, Passaic, and Essex counties.
Our NHH team provides compassionate hospice care to clients and families throughout the community. At a meaningful time in life, our hospice professionals help clients experience comfort, dignity, and peace while supporting families with reliability, respect, and heartfelt care.

This Client Services Manager position is ideal for someone with strong intake knowledge who enjoys helping families, coordinating care, and making sure a hospice office has the information and support needed to respond well to every referral.
What you’ll do

Manage a high-volume hospice intake process, with referrals received through email, fax, and phone calls

Respond quickly to new referrals and contact clients or families, ideally within 30 minutes or less when possible

Gather required referral information and complete accurate intake forms

Verify insurance and financial information and confirm hospice history when applicable

Confirm that clients are appropriately entered in the electronic medical record (EMR) system

Obtain or confirm physician orders needed for hospice services

Review consents and explain hospice services to clients and families as part of the intake process

Schedule hospice evaluations and coordinate next steps with the Clinical Manager and interdisciplinary team

Serve as a responsive resource and advocate for clients, families, caregivers, and field employees

Coordinate client services, staffing, and scheduling based on client needs, location, availability, and service requirements

Monitor client and employee needs, respond to urgent concerns, and help resolve service or scheduling issues

Maintain accurate and timely client information, service records, employee files, and required documentation

Participate in recruiting field employees from initial inquiry through interview, orientation, and onboarding

Collaborate with office leadership and recruiting partners to anticipate staffing needs and support future growth

Support Day One orientation and ongoing onboarding for field employees

Document and follow up on complaints, incidents, client concerns, and employee issues

Use BAYADA systems and resources to support reliable service delivery, operational excellence, and compliance

Welcome clients, families, visitors, and field employees while helping create a positive, collaborative office environment

What you bring
Required
- Strong intake experience and knowledge, preferably in healthcare, hospice, home care, or another service-based environment

Must be comfortable working fully on-site in a collaborative office setting

Strong organization, prioritization, communication, and problem-solving skills

Ability to move quickly and manage multiple competing priorities while responding to clients and families in a timely manner

Upbeat, flexible, open-minded approach and comfort working through change

Strong relationship-building skills and a client-focused approach to service
-
Comfort using computer systems for documentation, communication, scheduling, and record management
Preferred
-
Hospice agency experience, particularly hospice intake experience
-
Experience with referral intake, benefits verification, authorizations, physician orders, consents, or service coordination

Prior management, supervisory, or team-lead experience
-
Medical Assistant or LPN background
-
Prior Client Services Manager or similar office-operations experience
-
Familiarity with Homecare Homebase (HCHB) or similar healthcare documentation and scheduling systems

Spanish bilingual skills
