Position Summary  

The Certified Retail Pharmacy Technician supports pharmacists by performing all allowable technical, operational, and administrative duties under the Massachusetts Board of Pharmacy regulations. This role includes all non-certified technician functions plus all expanded duties permitted for nationally certified technicians (CPhT or ExCPT). Working in a fast-paced, high-volume mail-order pharmacy setting, the technician ensures accurate prescription processing, compliant handling of medications (including Schedule II–VI within legal scope), thorough inventory management, patient support, and communication with providers and insurance companies.

Key Responsibilities

Patient Interaction & Care Coordination  

• Onboard new patients by creating profiles, recording demographics, insurance, allergies, medication history, and payment details, maintaining accurate records at all times.  
• Conduct Board-approved medication histories. 
• Educate patients on services, insurance-specific benefits and refer eligible patients to manufacturer savings programs if applicable.  
• Personalize patient interactions and support ongoing needs including refill requests, authorizations, prescription status updates, and scheduling/coordinating deliveries.  
• Respond to non-clinical patient inquiries and refer clinical questions to a member of the Pharmacist team.   

Prescription Processing & Provider Communication  

• Enter prescriptions (electronic, fax, and paper); verify specialty medication inventory; flag prescriptions needing clinical data (e.g., REMS).  
• Accept NEW verbally transmitted prescriptions for Schedule III–VI (certified technician privilege). 
• Perform prescription transfers between pharmacies for Schedule VI medications. 
• Manage insurance claims, coordination of benefits, and communication with provider offices for formulary alternatives, authorizations, refills, and office delivery logistics.  
• Troubleshoot rejections including early refills, quantity limits, day supply edits, network overrides, specialty-at-retail issues, compounding overrides, and lost medication overrides. 
• Identify cost savings opportunities involving high-cost retail medications and convert to mail-order when appropriate. 
• Initiate prior authorization workflows, gather documentation, and prepare cases for pharmacist/provider review. 
• Communicate formulary alternatives, preferred products, and other benefit-related options to provider offices. 
• Support drop-off/pick-up window operations as needed  
• Participate in quality improvement initiatives and biannual inventory  

Medication Fulfillment & Inventory Management  

• Receive, prepare, and fulfill medication orders, including repackaging for home use and pre-packaging for shipment with specific procedures.   
• Store and restock medications safely, compliantly and appropriately, including specialty drugs requiring manual inventory entry, rotation, or special handling.  
• Process wholesale orders, check inventory regularly, and conduct monthly checks and returns.  
• Use technology to perform Schedule VI inventory management functions in accordance with Policy 2023-08 (excluding PMP drugs such as gabapentin). 
• Perform Schedule II perpetual inventory counts with a second nationally certified technician, with pharmacist verification. 
• Make entries in the Schedule II perpetual inventory. 
• Assist in handling Schedule II medications, including:
  – Counting
  – Working in the vault/safe
  – Inventory tasks
  – Compounding tasks allowed for technicians
• Verify NDC, lot number, expiration date, and labeling accuracy during fulfillment. 
• Ensure adherence to state and federal storage, sealing, packaging, and security requirements. 

Billing, Shipping & Logistics  

• Verify and process payment methods and manage daily credit card closeouts.  
• Prepare packages, confirm delivery methods and destinations for patients and provider shipments, and ship orders and mail with postage equipment.  
• Confirm delivery methods, addresses, and any special instructions for patients or provider shipments. 
• Coordinate mail, postage equipment, and shipment logistics. 
• Investigate delivery exceptions, missing packages, and carrier issues.

Requirements

Qualifications 
Education & Experience  

• High school diploma or equivalent.  
• At least 1 year of experience as a Pharmacy Technician.  

Licensure & Certifications  

• Must be registered and licensed with the Massachusetts State Board of Pharmacy and maintain an active license.   
• Must be certified by the Pharmacy Technician Certification Board and maintain required continuing education for active certification.  

Skills & Competencies  

• General word-processing and data entry.
• Ability to function in a fast-paced environment.  
• Strong organizational, prioritization, communication, and mathematical skills. 
• General knowledge of how third-party payers and insurance plans operate.  
• Experience with systems and software including but not limited to: ScriptPro, Chrome/IE, Tricare Formulary Search, and pharmacy filling systems.  

Physical Nature of the Job 

Typical physical aspects of this role would include exerting up to 25 pounds of force frequently to move objects. Some elements of the job are sedentary, but the employee will be required to stand for periods of time or move throughout the campus.
