Description
Overview
Provides administrative and organizational support for a program, department, or business initiative. This position helps coordinate day-to-day activities, maintain schedules and documentation, and ensure information and action items are communicated across departments and team members.
Responsibilities
- Coordinate and support daily program, department, or project activities.
- Provide general administrative support, including preparing documents, maintaining records, data entry, and organizing files.
- Coordinate meetings, calendars, schedules, and appointments.
- Prepare meeting materials, agendas, notes, and follow-up items as needed.
- Track action items, deadlines, deliverables, and other program-related activities.
- Communicate with internal departments, team members, and other stakeholders to ensure activities remain coordinated.
- Assist with reports, spreadsheets, presentations, and other program documentation.
- Maintain accurate and organized records and ensure information is updated in a timely manner.
- Respond to routine questions and requests and route more complex matters to the appropriate team member.
- Identify scheduling conflicts, missing information, or administrative issues and assist with resolution.
- Handle multiple priorities while meeting established deadlines.
- Work independently with moderate direction while maintaining communication with appropriate team members.
- Perform other administrative and coordination duties as assigned.
Qualifications
- Previous administrative, program coordination, project support, or related experience required
- Strong written and verbal communication skills.
- Strong organizational and time-management skills.
- Ability to manage multiple tasks and changing priorities.
- Strong attention to detail and accuracy.
- Ability to work independently with moderate supervision.
- Strong interpersonal skills and ability to coordinate across multiple departments or individuals.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
- Comfortable scheduling meetings, maintaining calendars, tracking information, and preparing documentation.
- Ability to maintain professionalism and handle confidential or sensitive information appropriately.
