Management Level:
P1The Associate Administrator, Food Safety & Quality Assurance (FSQA), provides administrative and technical support for plant food safety and quality programs. This position is responsible for maintaining accurate records, verifying compliance documentation, supporting product release activities, facilitating communication with internal and external stakeholders, and ensuring adherence to company, customer, and regulatory requirements.
Key Responsibilities
- Perform microbiological sample plating, incubation monitoring, and result interpretation in accordance with established testing procedures.
- Review microbiological and analytical test results received from regional laboratories and communicate findings to appropriate personnel.
- Conduct and document pre-shipment review activities for all production lines to ensure compliance with customer, regulatory, and company requirements prior to product release.
- Communicate with plant management and affiliated distribution facilities regarding production counts, inventory status, held product, product disposition, and shipping requirements.
- Respond to customer requests for Certificates of Analysis (COAs), product specifications, and other product-related documentation.
- Maintain and enter daily audit information into plant summary reports for management review, compliance verification, and trend analysis.
- Verify the completeness and accuracy of data entered into electronic data collection systems, including monitoring checks, calibration records, observation verifications, pre-shipment documentation, and other food safety and quality records.
- Identify, investigate, and follow up on missing documentation, monitoring records, verification activities, and quality checks to ensure compliance requirements are met.
- Review food safety and quality records and documents for accuracy, completeness, acceptability, and compliance with company policies, customer requirements, and regulatory standards.
- Participate in internal, customer, regulatory, and third-party facility audits by gathering records, organizing documentation, responding to auditor requests, and supporting audit activities.
- Coordinate record retrieval and documentation review to support audit readiness and regulatory compliance.
- Maintain foreign object tracking logs and support trend analysis and reporting activities.
- Track HACCP and SSOP monitoring deficiencies and assist with corrective action follow-up activities.
- Support product traceability and recall readiness programs by tracking product throughout production and distribution processes and verifying traceability documentation.
- Maintain daily audit packets and organize required documentation from all production shifts.
- Support records retention activities and maintain documentation destruction logs in accordance with company record retention policies.
- Compile and enter summaries from meeting minutes, audits, and operational reviews.
- Organize, maintain, and archive food safety and quality records to ensure audit readiness and regulatory compliance.
- Assist FSQA leadership with special projects, investigations, data collection, reporting, and other departmental initiatives as assigned.
Knowledge, Skills, and Abilities
- Strong attention to detail with the ability to verify large volumes of documentation for accuracy and completeness.
- Working knowledge of food safety and quality systems, including HACCP, SSOP, GMPs, microbiological testing, traceability, product hold and release programs, and regulatory requirements.
- Ability to manage large volumes of records and efficiently retrieve documentation during internal, customer, regulatory, and third-party audits.
- Experience working with electronic data collection systems, databases, and quality management systems.
- Ability to analyze records, identify discrepancies, and proactively resolve documentation and compliance issues.
- Effective verbal and written communication skills with the ability to interact professionally with customers, plant management, distribution personnel, auditors, and regulatory representatives.
- Strong organizational and time-management skills with the ability to manage multiple priorities in a fast-paced manufacturing environment.
- Proficiency in Microsoft Office applications, including Excel, Word, Outlook, and related business software.
- Ability to maintain confidential information and work independently with minimal supervision.
Requirements
Education
- High school diploma or equivalent required.
Experience
- Minimum one (1) year of administrative or clerical experience required.
- Experience in a manufacturing, food production, food safety, quality assurance, or regulatory environment preferred.
Computer Skills
- Excellent computer skills required.
- Proficiency in Microsoft Office applications, including Excel, Word, Outlook, and related software systems.
Communication Skills
- Excellent verbal and written English communication skills.
- Ability to communicate effectively with customers, plant personnel, distribution personnel, auditors, and management.

- Self-starter with the ability to work independently with minimal supervision.
- Ability to effectively multi-task, prioritize responsibilities, and manage competing deadlines.
