Role description:
Role Overview:
The Workplace Design Manager & Coordinator – Architectural will play a key role in overseeing and coordinating workplace design projects to ensure they align with corporate standards, stakeholder needs, and operational objectives. As a core member of the Centre of Excellence (COE) team, this role is responsible for organizing project meetings, setting and tracking team deliverables, and driving continuous improvement in design outcomes. The position requires close collaboration with internal stakeholders, project managers, and external consultants to deliver consistent, high-quality workplace solutions. Strong organizational, communication, and leadership skills are essential, along with the ability to adapt to changing priorities and foster a culture of proactive problem-solving and teamwork.
Work in coordination with:
- Various Corporate Services and Technology real estate stakeholders like Workplace Design, Capital management, Planning & COE team members.
- Capital Management appointed Project managers.
Stakeholder Management:
- Liaison between the COE team and Regional Capital Management teams to align
1. deliverables & timelines and adherence to policies & procedures of each Stage gate process.
Skills:
- A flexible approach with the ability to adapt to changing conditions and priorities and to work in a collaborative team environment.
- Excellent teamwork with ability to work cross functionally and coordinate with a global team.
- Organize meetings, set team deliverables and track progress of multiple books of works.
Technical:
- Understand project delivery schedule, prioritize workload for the team, set up meetings.
- Setup progress and pending list trackers, collate and document all the comments and prepare presentations to articulate the set of information.
- Drive consistency in design globally, but all highlight if any design elements need customization to suit project. Identify exceptions or design solutions, if any, which digress from the global guidelines and ensure the right level of engagement to close/address the same.
- Leverage existing Global Workplace Guidelines, governance, policies, planning metrics, principles, best practices and lessons learned to provide appropriate implementation strategies and solutions for the project.
Leadership:
- Provide regular updates to COE Workplace Design Lead and Leadership on team performance, operational challenges and ideas to improve performance.
- Encourage a culture of continuous improvement within the reporting team, identity & develop opportunities to enhance efficiency & effectiveness.
- Drive talent development, training and succession planning within the reporting team.
Team Management:
- Conduct regular team meetings to provide updates from COE Leadership & Capital Management team, troubleshoot operational challenges & incubate ideas.
- Encourage the team to proactively escalate operational issues and work with COE Leadership & Capital Management teams to develop & implement solutions.
Behavioural Competencies:
- Communicate clearly & effectively (both written & verbal) to reporting teams, COE Leadership, Capital Management teams, Global Supplier Services, Finance and other stakeholders.
- Effective time management, problem solving and strong interpersonal skills.
- Ability to articulate messages to Leadership and attention to detail with team.
Qualifications and Experience:
- Bachelor’s degree in Architecture (required) as well as experience working within an investment bank or financial services industry strongly preferred.
- Minimum 7-10 years’ experience in Workplace Interior Architecture, Interior Design, or Commercial Design Management.
- Proven organizational skills, ability to prioritize to meet deadlines and provide high quality service to clients.
- Strong knowledge of document management, track progress and deliverables.
