Description
The Patient Access Coordinator serves as the first point of contact for patients, physicians, and visitors at The Surgical Institute of Central Florida. This role is responsible for ensuring a smooth, compliant, and patient-centered registration and financial intake process, including insurance verification, patient check-in/check-out, and financial coordination. The position requires professionalism, attention to detail, and the ability to communicate clearly in a fast-paced ambulatory surgery center environment.
Bilingual (Spanish/English) proficiency is strongly preferred.
Requirements
Key Responsibilities
Patient Registration & Front Desk Operations
- Greet patients and visitors in a courteous, professional, and HIPAA-compliant manner
- Check patients in and out for surgical and procedural appointments
- Verify patient demographics, consent forms, and required documentation
- Maintain patient flow and communicate delays or schedule changes appropriately
- Answer incoming calls and route messages accurately and promptly
- Coordinate with nursing, anesthesia, and administrative staff to ensure efficient operations
Insurance Verification & Authorization
- Verify insurance eligibility, benefits, deductibles, co-insurance, and out-of-pocket responsibilities
- Confirm prior authorizations and referrals are in place prior to date of service
- Identify coverage issues and escalate discrepancies to leadership as needed
- Accurately document insurance information in the practice management system
Financial Coordination
- Review patient financial responsibility prior to service
- Collect copays, deductibles, and deposits in accordance with center policy
- Provide clear explanations of financial obligations to patients and families
- Coordinate with billing and administrative teams regarding payment plans or follow-up needs
- Balance daily collections and ensure accurate documentation of payments
Compliance & Documentation
- Maintain strict adherence to HIPAA, AHCA, AAAHC, and internal policies and procedures
- Ensure all required forms are completed, signed, and scanned appropriately
- Protect patient confidentiality and secure all protected health information
- Participate in audits, surveys, and quality improvement initiatives as assigned
Administrative Support
- Maintain organized front desk and waiting area
- Assist with scanning, filing, and electronic record maintenance
- Support leadership and clinical staff with administrative tasks as needed
- Participate in staff meetings, training, and continuing education
Requirements
- High school diploma or equivalent required; college coursework preferred
- Minimum 1–2 years of experience in a healthcare front desk, ASC, hospital, or physician office setting
- Bilingual (Spanish/English) strongly preferred
- Experience with insurance verification and patient financial discussions required
- Knowledge of medical terminology and insurance plans (commercial, Medicare, Medicaid) preferred
- Strong computer skills; experience with EHR/practice management systems
- Excellent interpersonal, communication, and customer service skills
- Ability to multitask, prioritize, and work efficiently in a fast-paced clinical environment
