Are you ready to be the welcoming face and professional first point of contact for our patients and the public? We are seeking a dedicated On-Call Office Assistant 2 to join our clinic team. In this vital role, you will provide consistent, high-quality customer service, ensuring a smooth and positive experience for everyone who walks through our doors. This position works in a fast-paced environment where multitasking and use of several computer systems are essential to clinic operations. As the On-Call Office Assistant 2, you will: 

  • Serve as the first point of contact for clients, greets clients and visitors at the front desk; provide information regarding the clinic and other resources, and refer to other services as needed. 

  • Act as a liaison with treatment staff and providers relaying information about patient needs such as walk-ins, paperwork or prescription pick ups.

  • Make appointments in Epic, requesting interpreters as necessary; write accurate notes for reasons for patient appointments in the note field.

  • Check patients in; obtain and/or verify demographic information and insurance coverage utilizing appropriate databases; and update registration and accounts in Epic. 

  • Resolve insurance issues as they arise and notify supervisor, as needed

  • Collect co-pays and payments on account balances following established cash handling policies and procedures.

  • Review priority messages; take appropriate follow-up action.

  • Receive, review and distribute client documents such as medical records from other clinics, faxes requesting prescriptions, or requests for medical records; route documents to medical staff for review.

  • Prepare documents for scanning/indexing by attaching client medical record numbers; verify consent information is entered into Epic correctly, correct if needed. 

  • Track release of information requests to assure they are received in a timely fashion for patient care.

  • Ensure next day and future appointments have the appropriate third party liability coverage and/or clients have been screened by the Eligibility team.

TO QUALIFY:

Minimum Qualifications/Transferable Skills*:

  • Education/ training equivalent to equivalent to completion of the twelfth grade 

  • One (1) to four (4) years of relevant experience that demonstrates the ability to perform the duties of the position.

  • Must pass a reference check.

However, keep in mind we may consider some or all of the following when identifying the most qualified candidates.   • Excellent writing, speaking, listening, and communication skills

  • Experience providing advice or technical assistance to the public

  • Ability to organize, prioritize and complete a variety of tasks simultaneously

  • Previous experience working with culturally and individually diverse groups

  • Experience with EPIC or similar electronic health record system

  • Ability to speak, read, and write in Spanish

Work Location: This position works onsite at Fernhill Health Center, 5530 NE 42nd Ave, Portland, OR 97218. 

Serving the Public, Even During Disasters: 

Everyday, Multnomah County staff work together to serve as a safety net for our communities. During a disaster, this safety net becomes even more critical. All County employees have a role in serving the public during inclement weather, natural disaster, or other types of community emergency response. During these emergency responses, while typically there begins with a call for volunteers, county employees may ultimately be reassigned from their current position to a role in the emergency response in order to support the critical needs presented by our communities.
