Are you a detail-oriented professional who is passionate about connecting children and families to high-quality early childhood education? Training and Research Foundation (TRF) is looking for an Enrollment + Administrative Assistant to play a vital role in ensuring families receive seamless access to our programs across Orange, and Riverside Counties.

This is a temporary position with meaningful impact. You will be the first point of contact for many of the families we serve and a key partner in keeping our compliance and enrollment operations running smoothly.

Training and Research Foundation is a California nonprofit dedicated to delivering high-quality early childhood education to families who need it most. Operating under Title 22 and Title 5 regulatory frameworks, TRF serves children and families across three counties with a commitment to excellence, equity, and community partnership.

WHAT YOU'LL DO

Enrollment & Family Support

  • Guide families through the enrollment process, assisting with required forms, documentation, and income calculation.
  • Prepare, organize, and maintain accurate, up-to-date children's files in compliance with TRF, Community Care Licensing, and California Department of Education requirements.
  • Communicate clearly and promptly with enrolled families regarding any changes to their enrollment status or program information.
  • Collect Food Applications and annual re-certifications from each enrolled family and provide documentation to the Area Manager.

Community Outreach & Partnership

  • Collaborate with team members to develop and implement community outreach plans and timelines.
  • Build and sustain partnerships with public and private organizations to address the needs of the children and families TRF serves.
  • Facilitate information sessions with local schools, community organizations, and the public to raise awareness of TRF program benefits.
  • Cultivate networks and community contacts that increase program visibility, drive enrollment, and support collaborative relationships.

Administrative Support

  • Provide coverage and support for office staff as needed, including answering phones and distributing mail and packages.
  • Receive and route program supply orders to appropriate staff.
  • Ensure all required licensure documentation is maintained in each child's file per Community Care Licensing, TRF, and CDE requirements.
  • Uphold routine file checks, reviewing all submissions for accuracy and completeness.

WHAT WE'RE LOOKING FOR

  • Strong organizational skills and meticulous attention to detail, especially with records and compliance documentation.
  • Excellent interpersonal and communication skills, with a warm, professional presence with families, staff, and community partners.
  • Experience in early childhood education, social services, or a related field preferred.
  • Familiarity with California childcare licensing and/or state preschool program requirements a plus.
  • Ability to work independently, manage multiple priorities, and meet deadlines.
  • Bilingual (English/Spanish) a plus.


Requirements

Minimum Qualifications (Knowledge, Skills, and Abilities)

AA or BA Degree in an early childhood education setting working with administration preferred not required. Experience completing enrollment, recruitment and providing parental assistance.

  • Able to exchange routine information using tact and persuasion as appropriate
  • Good oral and written communication skills
  • Ability to key in data, type, and operate a computer keyboard

Additional Requirements:

  • Experience working with children and families.
  • Must successfully pass a physical examination and have a current T.B. clearance, pertussis, measles and influenza vaccinations.
  • Adult and Pediatric CPR/First Aid Certificate
  • Must complete & pass a criminal background clearance through Community Care Licensing (DOJ/FBI/CAI).
  • Must possess a CA driver’s license, and evidence of automobile insurance. (If applicable.)
