About the Role
The Office Administrator is responsible for managing the YETI Vietnam office, ensuring smooth daily administrative operations, and providing a great experience for employees, visitors, and business partners. This role serves as the first point of contact for all guests while overseeing office management, facilities coordination, logistics support, internal events, vendor management, and basic financial administration.
What You’ll Do
Front of House & Guest Management
- Serve as the first point of contact for visitors, customers, and business partners.
- Welcome guests and provide professional and friendly experience.
- Manage incoming calls, emails, and general inquiries.
- Coordinate meeting room bookings and prepare meeting facilities as required.
- Support visitor registration in compliance with company security procedures.
Office Administration & Facilities Management
- Ensure the office environment is well-maintained, organized, and fully operational.
- Manage office supplies, pantry inventory, stationery, and equipment procurement.
- Coordinate office maintenance, repairs, and facility-related services.
- Oversee cleaning services to maintain a clean, safe, and comfortable workplace.
- Manage office access cards, seating arrangements, and employee onboarding logistics.
- Maintain administrative records, contracts, and office documentation.
Mailing, Shipping & Logistics Support
- Coordinate incoming and outgoing materials, mail, courier services, and shipments.
- Track deliveries and ensure timely receipt and distribution of packages.
- Support logistics arrangements for business activities, meetings, visitors, and company events.
- Liaise with vendors and service providers to ensure efficient execution of logistics requirements.
Internal Events & Employee Support
- Coordinate company events, employee engagement activities, town halls, celebrations, and other internal programs.
- Support event planning, venue arrangements, catering, communications, and logistics.
- Assist HR and leadership teams with employee-related administrative activities.
- Help create a welcoming and positive workplace experience for employees and visitors.
Vendor & Service Provider Management
- Coordinate with building management, cleaning services, courier companies, travel agencies, and other external vendors.
- Monitor service quality and ensure contractual obligations are met.
- Request quotations, compare pricing, and support vendor selection processes.
Finance & Administrative Support
- Process invoices, bills, and payment requests in accordance with company policies.
- Track office-related expenses and maintain accurate payment records.
- Assist with budget monitoring for administrative and office management expenses.
- Support reconciliation of vendor invoices and expense reports.
- Ensure proper filing and documentation of financial and administrative records.
What You Bring
- Bachelor's degree is preferred in Business Administration, Hospitality, Office Management, Human Resources, Finance, or a related field preferred.
- 2+ years of experience in front desk, administration, office management, or related roles.
- Strong customer service mindset with excellent interpersonal skills.
- Good organizational and multitasking abilities.
- Strong communication skills in both Vietnamese and English.
- Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
- Ability to work independently and manage multiple priorities effectively.
Location
This role will be onsite in Ho Chi Minh, Vietnam.
