About the role.
We're looking for a Customer Service & Warehouse Coordinator to play a critical role in ensuring seamless order fulfilment across our snack foods business. Partnering closely with Sales, Manufacturing, Warehousing, Distribution and external customers, you'll manage order processing, coordinate transport and stock activities, support export operations, and help deliver an outstanding customer experience.

This is an excellent opportunity for an experienced customer service, sales support or order management professional who thrives in a fast-moving FMCG environment and enjoys solving problems, building relationships and ensuring orders are delivered on time and in full.

Please note that this role is permanent part time at 30.4 hours per week (4 days).

Key Responsibilities, include but are not limited to:

Customer Order Management

·       Process customer orders accurately and efficiently for non-EDI customers.

·       Manage orders received through customer portals and internal systems.

·       Support a broad customer base including distributors, Amazon, Endeavour Group, Foodbank and other key accounts.

·       Provide proforma invoice confirmations and order status updates to customers.

·       Process and coordinate sample orders, including transport bookings and required documentation.

·       Maintain customer order templates and supporting documentation.

Transport, Stock & Supply Chain Coordination

·       Review SAP reports to identify stock shortages and communicate risks proactively with internal stakeholders.

·       Monitor pending, overdue and missed deliveries and coordinate follow-up actions.

·       Support stock allocation decisions and recovery plans during out-of-stock situations.

·       Coordinate purchase order processing and transport bookings to ensure service level expectations are met.

·       Work collaboratively with Sales, Warehouse and Operations teams to optimise dispatch plans and warehouse capacity.

Customer Service & Continuous Improvement

·       Liaise with carriers and service providers to support delivery performance and issue resolution.

·       Investigate and resolve customer enquiries, delivery issues and non-conformance reports (NCRs).

·       Build strong relationships with customers and internal stakeholders to achieve "right first time" service outcomes.

·       Identify process improvement opportunities across customer service, warehousing and distribution operations.

NZ Export Coordination

·       Coordinate export shipments into New Zealand, including container bookings, shipping documentation and administration.

·       Maintain visibility of inventory in transit and monitor supply chain risks such as freight, customs and port delays.

·       Process and manage New Zealand customer orders through designated 3PL systems and portals.

·       Lead communication and issue resolution between warehouse, planning, sales and logistics partners.

About You.

Skills & Competencies

• Strong problem-solving and analytical abilities.
• Excellent written and verbal communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Advanced SAP experience.
• Strong stakeholder management and relationship-building capability.
• Previous order processing experience within an FMCG environment.
• Experience in customer service, internal sales, sales support or order management.
• Exposure to transport, logistics, supply chain or warehouse operations is highly regarded.
• Experience working with customer portals, freight providers and third-party logistics (3PL) partners will be advantageous.
