At our core is human connection – guiding people to reimagine their futures in a community defined by opportunity, creativity, and growth.
Who we need
Reporting to the Associate Director, Enrolment Management, we are hiring an Admissions Coordinator for an 18-month maternity leave contract. As our new Admissions Coordinator, you will support the day-to-day operations of the Admissions team, ensuring Admissions Advisors have the administrative support they need to successfully recruit students. You will manage documents, prepare and review applicant files, maintain accurate information across admissions systems, and work with other internal teams to ensure tight deadlines are met and that policies and procedures are followed.
This is an existing hybrid role based in Fredericton, New Brunswick, requiring a minimum of three days per week onsite.
What's in it for you
Make an impact behind the scenes. You will be part of the team that keeps student recruitment moving. By ensuring Admissions Advisors have the accurate information and documentation they need, troubleshooting issues, and coordinating with teams across the university, your work will help keep processes on track and ultimately support students as they move toward enrolment.
Variety and continuous learning. There is always something new to learn in this role. You will work across different programs, processes, systems, and intake cycles, building your knowledge of post-secondary admissions while solving new challenges as they arise. You will gain broad exposure to the teams and processes that come together behind the scenes to support student recruitment.
Join a collaborative team where your work matters. You will become part of an experienced Admissions team where success is shared. The team works across responsibilities, steps in to support one another as priorities shift, and shares knowledge to ensure the work gets done accurately and on time. You will join colleagues who value teamwork, enjoy working together, and recognize the contribution every person makes to the team’s overall success.
As our new Admissions Coordinator, you will:
- Support the Admissions team. You will collect, review, and prepare applicant files and supporting documentation, ensuring information is accurate, complete, and ready for the Admissions Advisors. You will provide the behind-the-scenes administrative support that helps Advisors stay focused on prospective students and keeps recruitment activities moving forward.
- Maintain accurate applicant records. You will update applicant information across our CRM and other admissions-related systems, ensuring every record is complete, accurate, and handled in accordance with established processes. You will work with confidential information and help maintain the quality and integrity of admissions data and documentation.
- Collaborate across teams. You will work closely with Admissions Advisors, the Registrar's Office, and other internal departments to coordinate documentation, follow up on outstanding information, resolve questions, and ensure established policies and processes are followed. You will build strong working relationships across teams to help keep admissions activities on track.
- Keep priorities moving. You will manage multiple requests, files, and deadlines in a goal-oriented environment, adjusting your priorities as the needs of the Admissions team change. You will troubleshoot day-to-day issues, know when to escalate questions, and contribute to small projects and cross-functional initiatives that support the team and its goals.
You have:
- The administrative experience. You have experience supporting complex administrative processes where accuracy, organization, and attention to detail are essential. Whether your background is in admissions, higher education, customer service, student services, financial services, healthcare, or another process-driven environment, you know how to manage multiple priorities while maintaining a high standard of quality.
- The technical aptitude. You are comfortable working with multiple systems simultaneously and can quickly learn new technologies. You have experience maintaining accurate records in databases, CRM platforms, student information systems, or similar applications, and understand the importance of data integrity throughout every stage of a process. You have strong Microsoft Office skills, including experience with Word, Excel, PowerPoint, and Teams.
- The communication skills. You communicate professionally and empathetically with a wide range of people. You can explain processes clearly, respond thoughtfully to questions, and build positive working relationships with applicants and colleagues across multiple departments.
- The collaborative approach. You enjoy working as part of a team and understand that strong outcomes depend on effective collaboration. You build trusted relationships, share information proactively, and work closely with others to resolve issues and keep work moving forward.
- The mindset. You are detail-oriented, highly organized, and thrive in a structured, fast-paced environment with competing priorities and deadlines. You take ownership of your work, adapt quickly as priorities shift throughout the admissions cycle, and take pride in doing your part to keep the Admissions team and its processes moving forward.
