Billing Dispute Coordinator

In this role You will:

  • Develop a deep understanding of the various types of Lubricants billing processes within various customer channels of trade, specialized customer requirements, and other sales and marketing offers
  • Maintain close contact with the customers to assess their requirements and handle the entire customer experience, including but not limited to: customer master information and detailed customer profiles, pricing/quote inquiries, dispute resolution, product information requests, invoicing, material returns and resolution of customer complaints
  • Serve as customer advocate by understanding customer requirements and expectations, and acts as liaison between the customer and business representatives including: credit, marketing, supply chain, technical support, product management and sales
  • Interface with various Lubricants functions such as Sales, AR, Customer Support, Supply Chain, Pricing, Finance and Tax to gather information to ensure transactional accuracy
  • Interact with internal customers in a professional, friendly and efficient manner and to quickly escalate concerns about meeting service levels or deadlines
  • Support and drive complicated price / invoice related queries and complaints
  • Manage escalations related to invoice discrepancies
  • Apply Root Cause Investigation methodology for all billing errors to drive continuous improvement
  • Work closely with the Accounts Receivable team to ensure that billing defects are resolved in a timely manner that results in prompt collections ability
  • Responsible for the maintanance of the Dispute Report, ensure that data is accurately entered and maintained, minimising errors and resultant financial losses
  • Provide accurate information to both business customers and support teams through the correct use of all information technology systems
  • Develop and maintain a professional working relationship with internal and external stakeholders
  • Work closely with the Order Fulfillment team to assist in Order to Cash work flow
  • Display flexibility and adaptability to work with and assist other teams within the organisation
  • Provide process efficiency and quality service based on the relevant SOPs and Job Aids

What You will need to be successful:

  • Proficiency in English language
  • Minimum 3 years of Billing Support or Back Office Customer Service experience
  • High level of Lubricants Billing process knowledge     
  • High level of SAP and Salesforce proficiency
  • High degree of end to end O2C process understanding
  • Experience using MS Office applications
  • Process Automation/Scripting experience is an advantage
  • Experience leading or a desire to lead people as a future role
