Job Description

The IPAC Assistant is responsible for coordinating daily IPAC Hub operations, supporting data collection and reporting, facilitating communications and meetings, and assisting with educational initiatives and surveillance activities as needed. The successful incumbent will ensure the efficient administrative functioning across the IPAC team, contributing to the hospital's infection prevention strategies and the broader community IPAC partnership initiatives. They will also be responsible for supporting the IPAC Hub team and will act as a liaison between hospital IPAC team, the IPAC Hub and external and community partners.

Contribute to safe, quality care by:

  • Providing administrative and logistical support to the IPAC Hub team to ensure efficient daily operations.
  • Acting as key resource for interpreting infection prevention data and performance metrics.
  • Scheduling and coordinating community IPAC Hub visits, including site visits, education sessions, and audits.
  • Supporting quality improvement initiatives by tracking and monitoring IPAC-related metrics, goals, and project outcomes.
  • Managing and maintaining content for the IPAC Hub website.
  • Organizing and prioritizing workflows, schedules, and calendars; respond to general inquiries (phone, email).
  • Tracking and reporting expenses, maintain purchasing logs, and coordinate supply/equipment ordering.
  • Preparing meeting agendas and materials; attends meetings and records minutes; tracks and updates action items.
  • Recommending hand hygiene program developments and implementation of new initiatives.
  • Make recommendations based on data analysis and outcomes.
  • Support planning and delivery of key IPAC awareness events (e.g., World Hand Hygiene Day, National Infection Control Week, education events)

What you must have:

  • College Diploma in health-related, science, or administrative discipline, required. Bachelor’s Degree preferred.
  • Completion certificate of an IPAC Canada Endorsed IPAC course, required.
  • Current IPAC Canada member in good standing. Active member of IPAC GTA Chapter.
  • Minimum 2 years of recent relevant experience required.
  • Advanced data management and analytical skills, including use of specialized databases (e.g., hand hygiene platforms, MS Excel, Visio, PowerPoint, Canva).
  • Infection control knowledge, including familiarity with Public Health Ontario (PHO), Ministry of Health reporting requirements, and surveillance/reporting expectations.
  • Knowledge of IPAC regulatory standards (e.g., CSA standards, HPPA, OHSA), and long-term care/retirement home guidance.
  • Understanding of clinical environments and congregate care settings, workflows, and terminology.
  • Project coordination or quality improvement training knowledge would be an asset.
  • Proven organizational and administrative skills, including managing multiple priorities and coordinating complex schedules.
