The Senior Epic Environment & Release Analyst supports the operational governance, administration, communication, and coordination of the Epic environment and release activities. The role administers Epic change governance processes, maintains release and environment calendars, performs Epic Data Courier administration, coordinates Epic Nova note review activities, and supports release readiness across application and technical teams.
This position is designed as a coordination and administration role rather than the management of the Epic environment and release strategy. Management oversight, strategic decisions, technical release accountability, vendor coordination for configuration activities, and final escalation authority remain with the Director, Epic Platform Management, Biomedical Systems & Enterprise Interoperability.
The position provides a developmental pathway toward a future Epic Environment & Release Manager role as experience, technical knowledge, and organizational scope increase.
Responsibilities
Epic Environment & Release Management Coordination
- Maintain the integrated Epic environment and release calendar, including planned releases, upgrades, updates, maintenance activities, change windows, testing periods, and key readiness milestones.
- Coordinate shared calendar invitations, stakeholder meetings, release communications, reminders, and administrative notifications.
- Maintain release checklists, readiness trackers, dependency logs, decision records, meeting artifacts, and supporting documentation.
- Track completion of assigned release activities across application, platform, infrastructure, integration, security, and vendor teams and escalate overdue or at-risk items to management.
- Support release readiness reviews by consolidating status, open risks, dependencies, outstanding approvals, and completion evidence.
- Maintain current stakeholder and distribution lists for Epic release, environment, CAB/ECAB, and upgrade communications.
- Support administrative closeout of releases and maintenance activities, including documentation of outcomes, unresolved items, and follow-up actions.
- Assist with tracking environment utilization and scheduling conflicts across Epic non-production and production environments.
Epic Change Approval Board (CAB/ECAB) Administration
- Administer the day-to-day operations of the Epic Change Approval Board (CAB) and Emergency Change Approval Board (ECAB).
- Prepare meeting agendas and change-review materials; coordinate meeting invitations and required stakeholder participation.
- Validate that change submissions contain required administrative information and supporting documentation before governance review.
- Document CAB/ECAB decisions, approvals, conditions, deferrals, action items, and escalations.
- Maintain an auditable record of Epic change-governance activity and communicate approved change schedules to affected stakeholders.
- Track action items and outstanding requirements resulting from CAB/ECAB review.
- Support continuous improvement of change-control procedures, templates, documentation standards, and governance workflows.
Epic Data Courier Administration & Promotion Governance
- Configure, monitor, support, and troubleshoot Epic Data Courier interfaces used to migrate application builds between Epic environments.
- Manage and troubleshoot the migration of the application build across Epic environments.
- Maintain Data Courier interfaces and protection settings in accordance with established policies and procedures.
- Support application analysts with Data Courier import/export functionality and approved build-promotion processes.
- Resolve or coordinate the resolution of Data Courier synchronization and migration issues.
- Work with application teams to import, export, and troubleshoot master-file migration.
- Maintain Data Courier operational documentation, promotion standards, migration records, and governance controls.
- Provide guidance and education to Epic analysts regarding Data Courier processes, promotion expectations, and required documentation.
- Escalate exceptions, high-risk migrations, or promotion-governance concerns to the Director or designated technical leadership.
Epic Nova Administration
- Serve as the operational administrator for Epic Nova during quarterly Epic upgrades.
- Work with Epic upgrade leadership, application teams, and Epic Nova Support to support the release-note review strategy.
- Coordinate release-note review activities for Epic upgrades, including assignment, tracking, status reporting, and follow-up.
- Maintain Nova review schedules, ownership assignments, due dates, completion status, and disposition records.
- Monitor outstanding, overdue, high-impact, or cross-application Nova items and escalate risks or unresolved decisions.
- Provide consolidated Nova readiness reporting to Epic platform leadership and participating application teams.
- Maintain documentation and communications supporting Nova review governance and upgrade readiness.
Release Readiness, Communications & Cross-Application Coordination
- Coordinate administrative readiness activities across Epic application, platform, infrastructure, integration, security, training, operational, and vendor teams.
- Publish and maintain release schedules, milestone reminders, planned-change notifications, and readiness communications.
- Identify scheduling conflicts, unresolved dependencies, missing documentation, and cross-application impacts for escalation.
- Support integrated readiness meetings and ensure decisions, action items, owners, and due dates are documented.
- Assist leadership in maintaining consistent release-management processes across Epic applications and supporting technologies.
Role Scope and Management Boundaries
The Senior Epic Environment & Release Analyst supports and administers Epic environment and release-management processes but does not initially serve as the accountable Environment & Release Manager. The following responsibilities remain under Director-level management oversight unless formally delegated:
- Ownership and approval of the Epic enterprise environment strategy.
- Final management accountability for release readiness, release risk acceptance, and escalation decisions.
- Signing or approving Release Authorizations (RAs) or equivalent management approvals.
- Direct technical coordination and management accountability for configuration changes associated with monthly Epic SUs, operating-system patching, Epic quarterly upgrades, PSE/SPRE activities, or similar platform maintenance.
- Primary management coordination with the Epic hosting partner, Rackspace, for technical configuration, infrastructure, hosting, patching, and upgrade execution.
- Final prioritization decisions when environment demand, release schedules, or cross-application requirements conflict.
- Technical or application-owner decisions regarding the content or disposition of Nova notes.
The Senior Epic Environment & Release Analyst may schedule meetings, maintain calendars, issue notifications, track readiness, document decisions, and follow up on these activities while management ownership and technical accountability remain with the Director and designated technical/application owners.
Required Qualifications
- Bachelor's degree or equivalent combination of education and relevant professional experience.
- Experience supporting healthcare information systems, enterprise applications, IT change management, release management, application administration, or a comparable technical environment.
- Demonstrated ability to coordinate multiple concurrent activities, deadlines, stakeholders, and dependencies.
- Strong organizational, documentation, written communication, and meeting-facilitation skills.
- Ability to learn Epic environment concepts, application build migration, Data Courier interfaces, and release-governance processes.
- Ability to work effectively with both application and technical teams and to escalate risks appropriately.
- Strong attention to detail and commitment to established policies, procedures, and audit requirements.
- Minimum 4 years of experience managing Epic Data Courier in a healthcare IT setting.
- Epic DC Administrator Certification (required).
- Proven experience running Change Approval Boards and enforcing change control protocols.
- Strong working knowledge of Item Profile Groups.
- Strong working knowledge of Content Management.
- Strong working knowledge of Data Courier interface build and configuration.
- Strong working knowledge of multi-environment Epic system administration.
- Experience resolving CID and UCI conflicts across environments.
- Familiarity with change control processes and ServiceNow workflows.
Preferred Qualifications
- Epic Bridges Core Analyst badge or certification.
- 4+ years of experience supporting EMR implementation from the ground up.
- 4+ years of experience with Epic applications, Epic implementation or support operations, or an Epic-hosted environment.
- Strong communication and documentation skills.
- Experience with Epic Data Courier administration, build, and migration, or application promotion processes.
- 4+ years of experience supporting CAB/ECAB, ITIL change management, release management, or enterprise change-control processes.
- 4+ years of experience coordinating software upgrades, maintenance windows, production releases, or environment readiness activities.
- 4+ years of experience with Epic Nova or application release-note review processes.
- 2+ years of experience working with managed hosting partners or other external technical service providers.
- 4+ years of experience in a healthcare, academic medical center, hospital, or similarly regulated environment.

Epic Training and Certification
Epic Data Courier Administration training and certification should be completed as required for the organization's Epic support model and applicable Epic program requirements. Additional Epic training related to implementation, environments, upgrades, Nova, and release management may be assigned based on organizational need and the employee's development plan.
Developmental Career Path
This role is intentionally structured to develop toward an Epic Environment & Release Manager position. As competency and organizational experience increase, responsibilities may progressively expand from administrative coordination and technical Data Courier/Nova administration to broader ownership of environment and release-management functions.
