Responsibilities & Requirements
The Medical Scheduler II supports patient care and operational reliability by coordinating appointments, procedures, and diagnostic tests to ensure efficient patient access and optimal use of clinical resources. This role communicates with patients and clinical teams, maintains accurate scheduling records, and upholds regulatory and confidentiality standards. Performs other duties as assigned. All job responsibilities are to be carried out in alignment with Kettering Health's mission, vision, values, and B Safe program.
Required Education
- High school diploma or equivalent.
Required Work Experience
- At least one year of experience in a medical office, healthcare scheduling, or related administrative role.
Skills
- Proficiency with scheduling software and electronic health records (EHR).
- Strong verbal and written communication skills.
- Ability to manage multiple priorities and work in a fast-paced environment.
- Attention to detail and accuracy in data entry.
- Customer service orientation and problem-solving skills.
- Ability to maintain confidentiality and adhere to HIPAA regulations.
Essential Functions
- Schedule patient appointments, procedures, and diagnostic tests in accordance with provider orders and departmental protocols.
- Communicate appointment details, preparation instructions, and follow-up requirements to patients and families.
- Enter, update, and verify patient information in the electronic health record (EHR) and scheduling systems accurately and promptly.
- Coordinate with clinical and administrative staff to optimize provider schedules and ensure efficient patient flow.
- Respond to patient inquiries regarding scheduling, rescheduling, and cancellations, providing clear and courteous assistance.
- Monitor and manage appointment waitlists, cancellations, and no-shows to maximize resource utilization.
- Verify insurance information and obtain necessary authorizations or referrals as required by organizational policy.
- Maintain compliance with HIPAA, other regulatory agencies, and organizational confidentiality standards in all communications and recordkeeping.
- Identify and escalate scheduling conflicts or complex issues to appropriate personnel for resolution.
- Participate in process improvement initiatives related to patient access and scheduling efficiency.
- Adhere to safety and infection control protocols in the work environment.
- Support departmental goals by assisting with special projects or cross-coverage as needed.
Competencies
- Review an account for quality and confirmation and can demonstrate the ability to update all aspects of a patient account
- Assist patients with the completion of Financial Assistance Forms, HCAP Application and Medicaid Applications (if applicable)
- Demonstrate knowledge of all compliance or legally required registration forms, consents, literature and documents
- Employee demonstrates consistent hand hygiene practices
Preferred Qualifications
- Associate degree in business, healthcare administration, or a related field.
- Experience with electronic health record (EHR) systems, particularly Epic, and familiarity with medical terminology.
