Description
Please note that CCA is transitioning and working towards a wind down of operations with the 2027 academic year.
MAIN RESPONSIBILITIES:
Divisional and Program Administrative Operations - 60% of time
Partner with the Dean on the administrative planning and management implementation for the Division and the academic programs within it, including the ongoing operations for the M. Arthur Gensler Jr. Center for Design Excellence.
Working closely with the appropriate functional team(s), maintain smooth and effective programmatic and divisional operations, including curricular and public events, student and/or faculty gatherings.
Resolve, advise, or collaborate on ASAP tickets as assigned or tagged.
Coordinate regular monthly meetings of the division’s academic program chairs, setting agendas, identifying goals, and facilitating dialogue around critical issues with the Dean.
Partner with the chairs in the administrative planning and the ongoing operations of the academic programs.
Coordinate with the Senior Director of Academic Affairs Administration & Initiatives and divisional leadership teams on event planning.
Working closely with the Academic Collaborations & Engagement Team, provide program budget information as needed, have a firm understanding of the curricular events within the division, i.e. Junior Review, required exhibitions, graduate reviews, etc.
Coordinate with the Professional Engagement and External Partnerships Team for workstudy support for public events for the division and its programs.
Act as a resource regarding Academic Affairs and general CCA procedures and policies to chairs, faculty, and staff.
Work collaboratively as a member of the Academic Affairs team and represent Academic Affairs’ concerns in college-wide meetings as requested;
Provide regular assessment, improvement, and innovation in Academic Affairs processes, procedures, and communications;
Meet regularly with the Senior Director of Academic Affairs Administration & Initiatives and division assistant directors to identify opportunities and address issues.
Budgeting and Planning - 20% of time
Manage the operating and restricted program budgets for the division, working with the Dean of Architecture and the Senior Director of Academic Affairs Administration and Initiatives.
Oversee with the Dean in the budget management of the M. Arthur Gensler Jr. Center for Design Excellence
As needed, provide budget information to partners and stakeholders, including forecasts and expenditures.
Process payments and expenses as needed, which includes speaker fees, ordering materials, and catering.
Partner with Academic Affairs leadership and staff on general planning and coordination of the academic year.
Partner with the functional teams in Academic Affairs to plan, implement, and assist as needed with projects specific to those areas.
Division and Program Stewardship and Legacy - 10% of time
Assist the Dean and Program Chairs in documenting, celebrating, and communicating student, faculty, alumni, and staff achievements within the division and its programs.
Coordinate administrative support for exhibitions, publications, events, and other activities that highlight the division and its programs’ histories, impacts, and legacies.
Provide administrative coordination with Academic Affairs and other college staff to facilitate the disposition, transfer, or preservation of program materials and resources, as directed.
Other Administration - 10% of time
Serve as college-wide liaison for American Colleges and Schools of Architecture (ACSA) and National Architecture Accrediting Board (NAAB). Responsible for coordinating periodic accreditation reviews, reporting, statistics, and surveys, including completion and submission of NAAB annual program reports.
In addition to division specific meetings, attend regular Academic Affairs meetings, such as Deans/Directors/ADs, Directors/ADs, and CAMP (formerly All Chairs).
Coordinate internal and external communications and outreach activities.
As needed, hire and supervise day-to-day work of student and/or temporary workers, including scheduling, assigning, and prioritizing tasks, setting appropriate deadlines, reviewing work for quality and timeliness, and providing performance review input.
Perform additional duties and lead new initiatives as assigned by the Senior Director of Academic Affairs Administration and Initiatives.
Supervisory Responsibility
Direct Supervision of Graduate Assistants, Student, Temporary and Work Study Staff.
MINIMUM QUALIFICATIONS:
3-4 years of administrative experience at an educational or nonprofit organization, or other similar environment.
Bachelor's degree required
Demonstrated ability to work in an open and diverse community of staff, faculty and students with the ability to engage with divergent views while building consensus and collegiality.
Excellent written and verbal skills.
Excellent organizational and time management skills; competent with multi-tasking, prioritizing, and sustaining focus amidst frequent interruptions.
Experience with social media and event coordination.
Able to follow direction with minimum oversight, work independently as needed, as well as collaboratively and effectively across departments and stakeholder groups is required.
Ability to exercise sound judgment, resolve problems quickly and demonstrate exceptional interpersonal skills.
High level of attention to detail
Ability to handle sensitive and confidential matters with discretion.
Familiarity with and ability to apply technological solutions.
Proficient in MS Office Suite, Google Apps, Excel and data entry required.
Preferred Qualifications:
4+ years of administrative experience at an educational or nonprofit organization, or other similar environment. Preference given for experience at higher-ed art and design institutions.
Extensive program planning and project management experience.
BA/BFA/BArch degree with preference for one of the areas represented at CCA.
Experience with an integrated student information system (SIS), such as Workday, Banner, or Colleague.
Working Conditions:
CCA is normally open for business 8 a.m.–4:30 p.m., Monday through Friday. Supervisors assign individual work schedules, and all employees are expected to arrive on time and to be ready for work at the start of their scheduled shift. ADs generally start between 8 am and 9 am but may shift to accommodate programs, events, special projects, meetings, etc. and are subject to change based on the needs of the programs and college.
This position requires occasional work during evenings and weekends.
COMPENSATION & BENEFITS:
The compensation for this position is $73,866 annually.
CCA offers a comprehensive benefits package, including the choice of five medical plans, generous holiday, sick & vacation time, a retirement match and tuition remission. CCA covers an average of 91% of the medical plan cost for the employee only and an average of 82% for employees with dependents.
