Description
- Data Entry: Enter and maintain accurate records of code enforcement activities, violations, inspections, and compliance actions in departmental databases and record-keeping systems.
- Document Management: File and organize records, reports, notices, citations, and other documents related to code enforcement activities in accordance with departmental procedures and record retention policies.
- Customer Service: Assist customers in person, by phone, and via email with inquiries and complaints related to code violations, enforcement procedures, and property maintenance standards.
- Complaint Intake: Receive and document complaints and reports of code violations from residents, businesses, and other stakeholders, forwarding them to appropriate code enforcement personnel for investigation.
- Support for Inspections: Assist code enforcement officers with scheduling inspections, preparing inspection reports, and documenting findings and enforcement actions.
- Notice Preparation: Prepare and distribute notices of code violations, compliance deadlines, hearings, and other enforcement actions to property owners and stakeholders as directed by code enforcement personnel.
- Administrative Support: Provide general administrative support to code enforcement personnel, including copying, scanning, faxing, and filing documents, as well as preparing correspondence and reports.
- Public Education: Assist in the development and dissemination of educational materials and outreach efforts to inform the public about code requirements, property maintenance standards, and enforcement procedures.
- Training and Development: Participate in training and professional development activities to enhance job knowledge and skills related to code enforcement support functions.
- High school diploma or equivalent required; associate's degree in business administration, public administration, or related field preferred.
- Previous experience in clerical support, customer service, or administrative assistance desirable but not required.
- Basic computer skills, including proficiency in Microsoft Office applications (Word, Excel, Outlook) and the ability to learn and use departmental software systems.
- Excellent communication skills, both verbal and written, with the ability to interact effectively with customers, colleagues, and stakeholders.
- Attention to detail, accuracy, and organizational skills, with the ability to manage multiple tasks and priorities in a fast-paced environment.
