What You Will Do:
Payroll and HR Administration
Verify, audit, and reconcile employee timesheets to ensure accuracy and compliance with company policies and applicable Employment Standards legislation.
Assist with payroll data entry and payroll processing activities as required.
Review employee information for completeness and accuracy prior to payroll processing.
Support payroll record maintenance and respond to payroll-related inquiries.
Assist with year-end payroll activities including preparation of T4/T2200 support documentation
Organize, maintain, and update confidential personnel files and payroll records in electronic filing systems.
Organize and file third party cheques
Follow up with new hires to collect required onboarding documentation and ensure all employment records are complete.
Assist with employee setup and maintenance within the Human Resources Information System (HRIS).
Prepare HR-related correspondence, including employment verification letters, resignation acceptance letters, and responses to legal or third-party information requests.
Provide general administrative support to the Human Resources and Payroll teams.
Support employee file audits to ensure documentation is complete and current
Assist in office parking management and administration
Assist with policy acknowledgements and employee compliance tracking
Assist in tracking and monitoring temporary foreign worker work permit expiries, follow up on renewal documentation, and maintain accurate records to ensure employees remain authorized and compliant to work in Canada.
Benefits Administration
Assist with employee benefits administration, including distributing benefit cards and employee benefit information.
Support employee enrollment, changes, and terminations within benefit programs.
Respond to routine employee inquiries regarding benefits and direct complex inquiries to the appropriate provider or team member.
Expense Administration
Set up employees within the expense management system.
Assist in reviewing, verifying, reconciling, and processing employee expense submissions.
Ensure all expense claims comply with the Company's Expense Policy and supporting documentation requirements.
Follow up with employees regarding incomplete or non-compliant expense submissions.
Projects and Continuous Improvement
Assist with various HR and payroll projects, including audits, system implementations, process improvements, and data clean-up initiatives.
Support compliance reviews and reporting requirements.
Participate in special projects and other duties as assigned.
What You Will Bring:
Diploma or certificate in Payroll, Human Resources, Business Administration, Accounting, or a related field.
Previous administrative experience in Payroll, Human Resources, or Accounting is considered an asset.
Working knowledge of payroll practices and Employment Standards legislation is an asset.
Must love finding new way to improve processes and use systems to their full potential
Possess excellent verbal and written communication skills. Exceptional eye for detail and accuracy.
Highly accountable, dependable and strong attention to detail
Experience with HRIS, payroll, timekeeping, or expense management systems is preferred.
Proficiency with Microsoft Office, particularly Excel.
Strong organizational and time management skills with exceptional attention to detail.
Ability to handle sensitive and confidential information with discretion.
Strong written and verbal communication skills.
Ability to manage multiple priorities in a deadline-driven environment.
Salary Range:
$50,000 - $55,000 CAD Per Year
