Responsibilities

The Compliance Assistant Manager is responsible for ensuring that a comprehensive compliance program and related procedures are monitored and maintained across all investment structures (regulated and non-regulated) in accordance with the Luxembourg regulatory framework. The Compliance Assistant Manager will work closely with the Head of Luxembourg Compliance on compliance activities related to the Hines AIFM, the funds under its management, the Chapter 16 Management Companies as well as non-regulated structures.

 

• To maintain a compliance monitoring program, including policies and procedures, for Hines’ regulated operations in Luxembourg.
• To assess the adequacy and effectiveness of measures, policies and procedures put in place and propose actions to address any deficiencies.
• To notify the Head of Luxembourg Compliance of compliance breaches and implement remedial measures as necessary.
• To assist the Head of Luxembourg Compliance with analyzing the Company’s obligations under the AIFM framework and CSSF Circulars, including analysis of relevant legal and regulatory changes. In time, become a subject matter expert for selected areas of relevancy to the Company (AML, data protection, EMIR, AIFMD, marketing rules, DORA, outsourcing requirements, etc.)
• To prepare compliance and AML reports, questionnaires and other regulatory reports: Luxembourg (AIFM, Ch 16 Management Companies, regulated and unregulated funds
• To provide support to the Head of Luxembourg Compliance during internal and external audits
• To maintain internal databases
• To work with the global Financial Crime team and assist with the anti-money laundering procedures; assist with counterparty checks; analyze KYC documents; undertake the first review of name screening alerts and assist with anti-money laundering risk assessments and internal reporting.
• To assist with conflicts of interest checks for new and existing business and ensure the conflicts register is accurate and complete.
• To assist with the review of compliance records for personnel, including personal account dealing reports and trading statements.

Qualifications

Minimum Requirements include:

 

• Bachelor's degree
• Three or more years compliance experience, preferably including Luxembourg regulatory experience in the investment management or investment funds industry.
• Excellent verbal and written communication skills in English, while other European languages would be beneficial.
• Strong interpersonal skills, know how and when to leverage the knowledge and expertise of colleagues, and be able to motivate more senior colleagues to meet their compliance obligations.
• Be a strong team player.
• Excellent analytical skills.
• Well organised and able to meet deadlines.
• Good knowledge of MS Office products, very good knowledge of MS Excel.
